Incumbent serves as administrative support assistant to the pathology and laboratory medicine service. Incumbent performs clerical and administrative duties within the service line and some tasks may involve confidentiality of personnel matters, fiscal matters, and productivity documents. Provides timekeeping and leave management advice to employees and professional staff.
Duties
Provides administrative and managerial support to professional and allied health staff.
Participates in the management of the administrative office by supplying necessary clerical support by performing all procedures/functions promptly.
Direct preparation of recurring administrative reports and assists with special assignments such as space utilization, information required for CAP, Joint commission, and other accreditations.
Types confidential documents, transcribes dictation.
Enters and edits data in VISTA as the TMS coordinator to record the required continuing education and training activities for all service staff.
Prepares education and training reports as requested for administrative and supervisory personnel.
Assist budget clerk in certain budgetary functions and maintaining accountability for contract supplies and services and review of fund control point balances.
Receives calls, greets visitors, and directs to staff members only those contacts needing their attention or actions
Receives and distributes mail, prepares routine replies, arranges for travel, maintains supervisor's calendars, types and review documents for attachments, procedural and grammatical accuracy, dates, signature, and complete addresses.
Arranges meetings, types reports, correspondence, meeting minutes, and maintains filing systems within the established VA standards.
Incumbent is a purchase card holder and complies with all the acquisition regulations.
Performs back-up operational tasks such as placing orders for lab supplies and processing invoices for payment.
Performs other duties as assigned.
Work Schedule: Part time, Monday through Friday 8:00am-12:00pm (noon)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/28/2023.
GS-06 grade level: Possess one year of specialized experience, equivalent to the GS-05 grade level in the Federal Service, managing time and attendance which requires knowledge of policies, program directives and/or regulations; preparing and filing documents which requires knowledge of medical terminology, proofreading spelling, punctuation, grammar, and required formats; problem solving and follow through; and communicating effectively with professional, administrative, and technical personnel at all levels.
TYPING PROFICIENCY: This position requires the ability to type 40 WPM.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is predominantly sedentary. Walking, standing, bending, and carrying of light items such as papers, charts, reports, and files is regular & recurring.
