The incumbent will serve as the Eligibility & Enrollment, AOD and Telecommunications Manager. The incumbent participates with all levels of management in the planning, analyzing, implementing and establishing and monitoring of programs and protocols pertaining to the call distribution and consult management. The incumbent provides supervision and direction to the staff of the Centralized Scheduling Unit Call Center, Consult Team staff and telephone operators.
Duties
Duties for this position include but are not limited to:
Develops, interprets, applies, and integrates objective criteria and acceptable standards for use in monitoring activities. Identifies problem and/or opportunities to improve performance through such avenues as informal meetings, statistical data, occurrence screens, incident reporting, procedure case review, etc. Incumbent coordinates a quality assurance program for areas under his/her purview by data collection, data management, monitoring, tracking, analyzing and interpreting data for the purpose of detecting occurrences or patterns which may negatively affect section performance
Duties of the telecommunications unit consist of operating a telephone console with Federal Telecommunications system Trunks and Emergency Speed Dial lines. Duties consist of day to day leadership of supervision of Supervisory Medical Support Assistants and Telephone Operator Supervisors.
Develops the need for and maintains an awareness of available resources, and makes recommendations to Medical Center management regarding needs, distribution or redistribution of these resources.
Conducts special projects to research and compile data from VSSC Data Warehouse and VistA applications to develop reports and/or training presentations
Incumbent is responsible for evaluation, planning, direction and management of all Centralized Scheduling Unit functions at the CMCVAMC, direct authority over approximately 37 FTEE, to include: 3.0 Supervisory Medical Support Assistants GS-679-08; 2.0 Supervisory Medical Support Assistants GS-679-07; 31.0 Advanced Medical Support Assistant GS- 679-06 and 1.0 telecommunications Supervisor GS-0392-06.
Work Schedule: Monday-Friday 08:00am- 04:30pm
Travel: Less then 25% to attend community outreach events
Telework: Authorized at service line discretion

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/27/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Basic Qualifications 1- Education and Experience:
GS-09 Specialized Experience: Do you possess at least one (1) full year of specialized experience at the next lower grade level GS-07 that equips you with the particular knowledge, skills, and abilities to perform successfully the duties of the Supervisory Medical Administration Specialist? To be creditable, this specialized experience must have been equivalent to the GS-07 level in Federal service to qualify at the GS-09.Examples of specialized experience include:
The incumbent is required to conduct data analysis, statistical and quantitative problem solving, and programmatic oversight of the Centralized Scheduling Unit, Eligibility & Enrollment, Telecommunication and AOD section
Incumbent is responsible for evaluation, planning, direction and management of all Centralized Scheduling Unit , Eligibility & Enrollment, Telecommunication and AOD functions at the CMCVAMC,
The Incumbent is responsible for accepting, amending, or rejecting work of subordinates and instructs other personnel in the interpretation and application of procedures and policies
The incumbent is responsible for the supervision and oversight of the planning, directing and managing the administrative support activities as they relate to the efficient processing of Centralized Scheduling Unit section workload and the Telecommunications Unit.

Physical Requirements: The work involves, standing, walking, and ensuring staff are in respective duty locations. Some slight physical effort may be required. Work is mostly sedentary but requires some bending, walking, standing, lifting, and carrying of light items, such as reports to various areas of the Medical Center. Working at the computer for long periods of time and accessing information from the various computer systems is necessary.
