This position performs various administrative functions for the Facilities Management Service FMS at The Department of Veteran Affairs, Ralph H Johnson, Medical Center, Charleston SC. The incumbent works directly for the Chief, Facilities Management and provides support for management staff in the Facilities Management Service.
Duties
Major duties and responsibilities of this position include, but are not limited to, the following:
Maintain calendars and recording appointments.
Arranging for a meeting and small conference administrative details.
Edit and compose letters and prepare public presentation outlines.
Prepare 2237's and 1358 make daily posting.
Greet customers and receive in screen telephone calls.
Handle conflict and problems in dealing with the customers.
Tracking and updating all service employee training in TMS.
Reviewing all communication for accuracy of format, grammar, policy, and returns material for revision/correction as needed prior to routing for higher level signatures.
Processes all requests for supplies, materials, and services required for engineering service through various sources.
Coordinate committee meetings to include preparing the agenda, recording minutes, and following up on action items.
Work Schedule: Monday to Friday, 7:30 AM to 4:00 PM.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/27/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience includes but is not limited to: Experience with scheduling and services support such as maintaining calendars and appointments, arranging meetings, edit and compose letters; planning, determining priorities, compiling reports, submitting paperwork, problem-solving and organization; Performing a variety of administrative functions, concepts, principles, and practices independently. Proficient in both oral and written communications, developing reports, conference handouts, charts, research papers, presentations and service policies; Firm understanding and experience using technology and/or software such as Excel, PowerPoint, Word, Outlook, SharePoint, Adobe, and other software that is necessary to produce high quality and creative products required by the office.

Physical Requirements: The basic responsibilities of this position are office based and involve mainly sitting and computer type work. In addition, it involves visits to other services to turn in needed paperwork and/or give/get feedback on how to proceed in a project affecting Pharmacy Service. Light to moderate work is required to include the receipt and stocking of office supplies, packing and relocation of records boxes, and the distribution of mail correspondence to pharmacy employees.
