This position is physically located in Tulsa, OK in the Veteran Transportation Service (VTS) Service line, within the Eastern Oklahoma VA Health Care System. The incumbent serves as a Transportation Coordinator at the facility level and acts as the primary contact to Veterans for transportations needs.

Duties

Major duties of this position include, but are not limited to: Collects, compiles, and tracks data and statistical information in support of the service line. Provides technical and management guidance necessary to achieve the optimum use of service resources. Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, statues and policy. Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate. Utilizes computerized records systems, share points, and databases to process internal consultations. Maintains automated system of program-specific data to track items such a service project milestones, progress reports, program trends, performance measures, compliance strategies, etc. Interacts with various other transportation services within the facility to coordinate transportation services for Veterans. Demonstrate personal mastery of interpersonal skills, including the ability to meet and deal effectively with a wide variety of staff from many educational and skill levels, for communicating clear instructions and interpretations. Informs staff on the processes for scheduling, standard preparations, and scheduling arrangements for procedures. Possess and develop an understanding of the particular transportation needs of geriatric level patients. Exercise a high degree of coordinating ability, tact, poise and diplomacy in dealing with both clinical and administrative staff, as well as in contacts with the public, both within and outside the facility. Interact with Veterans and their families and other transportation providers to resolve transportation problems. Communicates and treats customers (veterans, their representatives, visitors and all staff) in a courteous, tactful and respectful manner. Demonstrate the ability to work effectively with others and provides the customer with consistent information according to established policies and procedures. Handles conflict and problems in dealing with the customer constructively and appropriately. Work Schedule: Monday- Friday (8:00 AM - 4:30 PM) Telework: This is not a telework position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/20/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge to make sound and logical decisions, identifying and utilizing appropriate available resources. Knowledge to deal effectively with problems, issues and situations which occur in the daily activities of program to establish and maintain effective working relationships which contribute to the attainment of organizational and service goals. Extensive knowledge of laws, regulations, directives, policies, procedures, performance measures and guidelines relating to medical benefits administration, organizational structure, mission and goals, Privacy Act of 1974, Freedom of Information Act (FOIA) and working practical knowledge of applicable regulation, station directives, Public Laws, State Laws, Central Office directives, HIPPA regulations. Must demonstrate personal mastery of interpersonal skills, including the ability to meet and deal effectively with a wide variety of staff from many educational and skill levels, for communicating clear instructions and interpretations. Knowledgeable in regard to consult management, scheduling, admissions, discharge, transfer, and administration with patient processing including diagnostic tests and studies, availability of these within the medical center, and procurement outside this medical center when not available at this facility or other facilities. Proficient in using Microsoft software and other software programs deemed necessary. Knowledge of structure of electronic medical records. Ability to prepare and produce written instructions, and a variety of correspondence. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Incumbent will be exposed to stressful working situations that require a professional attitude and collective reasoning. The incumbent is subject to a high volume of work, the need for accuracy, frequency of interruptions and ever-changing demands due to program changes.
