The Administrative Management Specialist position is located in the Department of Administrative Services (DAS), Facilities and Security Office (FSO). The FSO is responsible for the management, oversight, and support of security, emergency preparedness, space and facilities programs, and various administrative services within the Thurgood Marshall Federal Judiciary Building (TMFJB), for the courts, other judiciary offices, and the AO.

Duties

This position will report to the Chief, Facilities and Security Office (FSO), Department of Administrative Services (DAS). The FSO is seeking a self-motivated professional Administrative Management Specialist to join its team. The incumbent will be providing executive administrative level support, managing administrative staff, and providing guidance and direction to staff on administrative matters. The ideal candidate must communicate effectively, both orally and in writing, and have experience in SharePoint, PowerPoint, and MS Forms. The duties of this position include, but are not limited to: Serving as the FSO office manager and staff action control officer to ensure all administrative actions proceed in a manner consistent with established objectives, schedules, understanding of the work being assigned, and consistency of delivery. Assisting FSO leadership and administrative staff with staff action, coordinating workflow administration, and measuring work assignments to better balance the workloads and effectiveness of staff. Providing advice, guidance, and direction to staff on administrative matters that do not comply with either established requirements or quality of correspondence. Providing assistance in the interpretation and application of administrative policies and procedures by maintaining a close working relationship with staff. Working with Division leadership and administrative staff to ensure all incoming and outgoing correspondence, work assignments, staff/program inquiries (etc.) are properly routed and managed by the Office Manager. Working with Division leadership and administrative staff to develop appropriate training and professional development opportunities. Reviewing, evaluating, and managing office-wide staff actions (i.e., memorandums, reports, studies, fact sheets, information papers, etc.) for quality control and the overall consistency of the message and communication, appropriate level of coordination, and soundness of recommendations. Providing executive administrative service support to the FSO Office Chief and Deputy.

Qualifications

Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions. Specialized Experience: Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience must demonstrate experience in ALL areas defined below: Providing advice, guidance, and direction to staff on administrative matters; Reviewing, evaluating, and managing office-wide staff action (i.e., memorandums, reports, studies, fact sheets, information papers, etc.) for quality control; and Coordinating workflow administration and measuring work assignments to balance workloads and effectiveness of staff.
