This position is located within the Department of Program Services (DPS), Probation and Pretrial Services Office (PPSO), Business Support Staff (BSS). PPSO is responsible for the management, oversight, and support of the judiciary's probation and pretrial services program.

Duties

This position is located within the Department of Program Services (DPS), Probation and Pretrial Services Office (PPSO), Business Support Staff (BSS). The administrative specialist will support PPSO by providing administrative support, project planning, and communications support. The duties of the position may include, but are not limited to: Preparing, creating, and tracking correspondence and memoranda. Scheduling and supporting meetings (in person, by phone, and by video). Managing multiple calendars and files utilizing SharePoint. Tracking the status of office projects and producing status reports and summaries for managers. Preparing travel authorizations and vouchers utilizing the JETS automated travel system. Coordinating with division chiefs to plan meetings and conferences, arranging and executing logistical requirements such as hotel contracts, rooming lists, participant rosters, and issuing travel authorizations. Creating obligating documents utilizing the JIFMS financial management systems. Processing and managing purchase card requests. Using Microsoft Office to maximize productivity and efficiency. Compiling and editing weekly updates from office staff and draft weekly summaries for the office chief and deputy chief. Providing quality customer service.

Requirements

Qualifications

Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions. Specialized Experience: Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience is demonstrated experience in administrative support, project planning, and communications support. Additional Experience: Any experience working with CVENT or SharePoint is preferred, but not required.
