This position is located at Albany VA Medical Center in the Women Veterans Health Program (WVHP). The Program Support Assistant (PSA) provides support for all aspects of care provided to women Veterans across all sites. Albany VA Medical Center the Albany VA Medical Center is responsible for support to the Mental Health and Medical clinics that serve to eligible Women Veterans, covering nineteen (19) counties and including eleven (11) CBOCs.
Duties
Duties include but are not limited to:
Program Support (40%)
The primary function of this position is to ensure administrative processes are in place to maintain and expand current services and to and support implementation of new gender-specific health care needs of women Veterans. The incumbent will assist the WVPM with critical administrative duties and coordinate administrative policies to assist staff with understanding and following care processes, regulations and service polices. Determines action needed by clinical staff with action tracking to ensure timely completion and resolution and refers significant problems for resolution. Evaluates
procedures and determines when changes need to be made and independently effects the changes. Resolves or assists in resolving a variety of problems related to the care of women Veterans throughout the organization.
Provides management assistance for the Women Veterans Health Program councils, task forces, committees, and meetings. Acts in the place of the Women's Health Program Manager to chair the workgroup. The incumbent will track follow-up actions that are required to meet designated time frames and deadlines.
Participates in Environment of Care (EOC) rounding to assess facilities for measures of privacy, dignity, and safety for women Veterans. Tracks, reports, and documents deficiencies in privacy, dignity, and safety and collaborates with stakeholders to resolve those deficiencies.
Arranges travel, enters work orders, orders supplies, equipment, etc. Maintains purchase card for Women Veterans Program and makes appropriate purchases as directed by WVPM. Schedules and coordinates meetings and/or conferences.
Analysis (30%)
Maintains evidence-based tracking data registries to ensure all program goals and objectives as set forth by VACO Women's Health Services directives and policies, VISN 2, and the Albany Women's Health Program strategic plan are being accomplished and performance measures are being met. Prepares reports by evaluating, correlating the data for the Women's Health Program Managers review and concurrence before presentation to Women Veterans Health Committee and the VISN 2 Women Veterans Healthcare Council, Albany VA's Quality Safety Value, and Quarterly Performance
Review meeting. Incumbent handles unusual or unprecedented problems independently, acting, and recommending solutions in collaboration with the WVPM.
The incumbent is responsible for planning, organizing, coordinating, implementing, directing, integrating, and evaluating gender data collection and evaluation mechanisms related to performance improvement initiatives for women's health throughout the healthcare system. The incumbent will track and gather data needed for information management, education, and reporting.
Correspondence (20%)
Maintains Women's Health Program share drives and SharePoint. Uses MS Word or comparable word processing software to execute several office automation functions such as storing and retrieving electronic documents and files; activating printers; inserting and deleting text; formatting letters, reports and memoranda; and transmitting and receiving e-mail. Uses MS Excel or other comparable spreadsheet software to develop and change spreadsheets to graphically display data. Uses MS PowerPoint. Uses the Veterans Health Information and Technology Architecture (VISTA) to access
information in the Medical Center Computer System.
Clinical Support (10%)
Assists with tracking and case management of breast and cervical cancer screening utilizing spreadsheets and data reports to ensure that providers and patients receive timely notification of results. Assists with tracking and case management of Maternity Care Coordination patients utilizing spreadsheets and consult reports. Provides education and troubleshooting to women Veterans at home in the use of telehealth equipment via telephone and video appointments. Tracks and manages Women's Health consults using consult reports, CPRS and Vista.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/15/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
effective and efficient communication via various platforms to address inquiries;
Prepare meeting agendas, sends invites, records minutes and forwards meeting minutes to all participants ensuring all action items and tasks are completed in a timely manner;
Performs work involving the collection, compilation and tracking of data and statistical information in support of operations;
Ability to coordinate events and programs
Provides assistance to all personnel within the program area and independently performs a variety of administrative and technical assignments;
Ability to maintain compliance with various facility requirements;
Timekeeping;
Writes letters and email correspondence, and provides secretarial/clerical support; which includes procuring office supplies and special items for the entire department.
Preferred Experience: Previous Experience in a Program Support staff at a large complex system like a Hospital or University
