The File Clerk position is located in the Health Information Management Section (HIMS) of the Health Administration Service at the Tomah VA Medical Center, Tomah, WI, and performs work such as filing, retrieval, and clerical duties associated with the retention, maintenance, and disposition of administrative and medical records.
Duties
Major duties:
Scan health and administrative information into the Computerized Patient Record System (CPRS).
Reviews incoming documents for patient identification to aid in timely input of scanned documents.
Conducts qualify assurance on 100% of documentation for readability, clarity and position.
Inputs appropriate progress notes and indexes documentation according to the medical specialty.
Locates correct consultation based on the content of the documentation and medical specialty.
Returns documentation to originator to complete or correct any deficiencies.
Arranges records for storage/reference, scheduled disposition, and retrieval.
Determines file retention and disposal including determining applicable authorities, screening, and preparation of files for retention and disposal.
Uses record tracking system to locate and obtain records as needed for release of information.
Charges out and checks in records.
Assists with record retrieval for record retirement, preparation for shipment, and assists with record management program.
Photocopies records for Release of Information.
Performs other related duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 4 position you must have served 52 weeks at the GS 3. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: One (1) full year of general experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position being filled. Experience could include tracking, coordinating, updating, editing, compiling and maintaining files and records; clerical and administrative skills such as records management; skill in using computer applications for functions such as word processing and database management; skill in time management, multi-tasking and organization; and communication and interpersonal relation skills sufficient to appropriately and courteously relate to internal and external customers both verbally and in writing.

Education - 2 years above high school. This education must have been obtained in an accredited business or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. TRANSCRIPTS REQUIRED.

Physical Requirements: The work is mostly sedentary; however, some bending, stretching, walking, and lifting are required. Boxes of records weighing up to 50 pounds must be packaged and lifted for shipment.
Work Environment: Work is normally performed in an office setting that is adequately lighted, heated, and ventilated. This position is not suitable for telework.
