The incumbent functions are to act as one of the patient advocates for the service and provide clerical/administrative support to maximize the program accomplishments of the Surgical Care mission and goals. This position is responsible for a comprehensive range of secretarial, patient representative, and administrative/coordinative duties throughout Surgical Care. The incumbent is expected to apply a general understanding of Federal and VA structure and policy,

Duties

The incumbent will complete a number of administrative/coordinative duties throughout Surgical Care as follows: Independently initiates, plans, implements, and tracks administrative coordination of training/education program throughout Surgical Care within guidelines established by medical center and VHA. Work closely with Education Service, Information Security Officer, Compliance Officer and/or other service entities to ensure distribution of educational material of all Surgical Care staff including administrative, clinical (nurses/technicians), and physicians. Exercise independent judgment, tact, diplomacy, and understanding in performing duties and maintain confidentiality concerning privileged and sensitive information. Compiles a listing of addresses for fee Attendings, who must also complete training requirements and mail copies of educational documentation for completion. Maintains current records of required training and provide status reports to Chief, Surgical Care and Leadership. Ensures orientation documentation and competency reviews are completed at initial entrance on duty by supervisor of employee. Coordinates the monthly completion of initial Attending credentialing documentation and performance improvement data that is clinician specific for re-credentialing purposes. Maintains appropriate documentation to ensure timely submission of all required credentialing to the Medical Staff Office. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/15/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position, you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. In addition to the time in grade requirements listed above, the below qualification requirements must be met at the grade in which you are applying. This position requires the skills of a qualified typist. In addition to meeting the experience requirements, you must be able to type at least 40 words per minute. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Significant knowledge of office automation systems and a fully qualified typist to perform word processing duties. Knowledge of the duties, priorities, commitments, policies and program goals of the staff sufficient to perform assignments such as reviewing publications, directives and other materials Ability to take appropriate follow-up action; and to perform non-routine assignments such as locating and assembling information from files and documents, compose correspondence not requiring a technical knowledge and to maintain awareness of the clerical and administrative problems. Knowledge of organization policies and procedures and personnel rules and regulations in order to perform the administrative needs as required. Knowledge of spelling, punctuation, and required formats to identify and correct grammatical errors and type materials in a final form. Knowledge and skill to coordinate the work of the office with other offices. Skill in transcribing dictation. Knowledge of PC computer equipment, printers, electronic typewriters and software to provide staff support and to accomplish specific programs and projects. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, requiring sitting, standing, walking, bending, and carrying light objects. The position demands period of intense concentration and the ability to maintain control in difficult situations.
