About the Position: Serves as administrative support assistant, performing a wide variety of complex organizational projects and assignments. Management may select at either the GS-05, GS-06 or the GS-07 grade level. Full performance is at the GS-07 grade.

Duties

Coordinates reporting requirements for the branch. Prepares correspondence and reports utilizing various software programs to electronically retrieve, create, review, format, transmit, finalize, print and save documents. Tracks financial obligations and is responsible for procurement of goods, supplies, and services. Orders supplies and prepares obligations for purchases for a wide variety of items by varied open market purchase methods, such as ordering against blanket purchase agreements, GSA orders, and credit card purchases. Makes travel arrangements, provides travel services and coordinates travel needs for personnel. Provides and maintains knowledge of administrative policies, procedures, and regulations for the organization. Reviews outgoing correspondence for conformance with administrative policy and procedures, proper coordination, correctness of format, composition, and grammar.

  • This is an Office Automation (OA) position. Incumbent must self-certify as a qualified typist (40 wpm) for this position.

Qualifications

Who May Apply: US Citizens In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Additional information about transcripts is in this document. To qualify at the GS-05 grade level, you must have: Specialized Experience: One year of specialized experience which includes procedural and administrative work in an office environment such as preparing correspondence, maintaining files or records, making travel arrangements, maintaining inventory records, and timekeeping. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four-year course of study leading to a bachelor's degree with related course work in business, secretarial, or technical college, junior college, college or university (Note: You must attach a copy of your transcripts). OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education by 60. Add the two percentages. (Note: You must attach a copy of your transcripts). To qualify at the GS-06 grade level, you must have: Specialized Experience: One year of specialized experience which includes procedural and administrative work in an office environment such as preparing correspondence, maintaining files and records, making travel arrangements, maintaining inventory records for hand receipts to account for property, making credit card purchases, gathering budgetary data, preparing and monitoring labor and fund requests, and using automated personnel and timekeeping databases. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05). To qualify at the GS-07 grade level, you must have: Specialized Experience: One year of specialized experience which includes procedural and administrative work in an office environment; checking email and maintaining office calendar for visitors, meetings, vacations, inspections, and events; compiling and maintaining information and statistical data to prepare various recurring and non-recurring reports on operational and administrative matters. Coordinating travel arrangements with appropriate district elements and resolving discrepancies. Project and estimate fiscal year allocations of commitments and obligations, monitoring and maintaining ongoing overview of the office's financial situation. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). Education

Some positions in the federal service allow applicants to substitute education for experience. For this job series, you may substitute education for experience to qualify at the GS-05 grade level. You must qualify based on experience alone for the GS-06 and GS-07 grade level -- no substitution of education for experience is permitted for the GS-06 and GS-07 grade levels.
