This Program Support Assistant position is located within Patient Care Service Line (PCSL) at the Cheyenne Healthcare Systems. Incumbent provides administrative support for the professional mandated functions, and resource management activities in the Patient Care Service Line (PCSL) and other service lines as needed.

Duties

The Program Support Assistant provides administrative support for the professional mandated functions, nurse recruitment and resource management activities in the Patient Care Service Line (PCSL) and other service lines as needed. Duties will include but are not limited to: Performs a wide variety of administrative tasks associated with maintaining and supporting the work for the Associate Director, Patient Care Services, and Associate Chief Nurse, in the Patient Care Service Line (PCSL) and other service lines as needed; Provides other clerical duties, as requested, for special reports, unexpected requests for compilation of data and assists other areas within the PCSL and other service lines as needed; Provides administrative and typing support to the Inpatient PCSL service areas and other service lines as needed from brief verbal or written instructions; Types and prepares a variety of letters, memorandums, statistical data, reports, etc. Typing from rough draft or material requires correct spelling and sentence structure to increase clarity and maintain format; Establishes and maintains subject matter files in accordance with the office agency policies and guidelines; Acts as Liaison between managers and new hires to include but not limited to sponsorship, access requests, and equipment requests; Monitors and manages Quality Improvement process within the Inpatient Service areas of Emergency Department, Medical Surgical, and Intensive Care Unit; Receives schedules, refers and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public (i.e. State Board of Nursing), local agencies and local universities; Screens calls and personally fields calls when the requested information concerns routine and procedural requirements; Supplies the requested information when the question concerns information the employee is familiar with or can easily get (e.g. status of reports, suspense dates, procedural requirements). All other duties as assigned Work Schedule: Monday-Friday 7:30am to 4:00pm Position Description Title/PD#: Program Support Assistant/PD141420 Physical Requirements: The work is generally sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-6 grade level: One year of specialized experience (equivalent to the GS-5 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Skill in listening and verbal communication, knowledge of grammar, spelling, punctuation, and required formats, skill and ability to independently accomplish tasks using computer software and networks including Windows, Word, Excel, PowerPoint, Outlook and applicable HR software, knowledge of forms and procedures for requesting recruitment supplies, equipment repairs and printing services, knowledge of manuals and regulations, memorandums, policies and procedures. GS-7 grade level: One year of specialized experience (equivalent to the GS-5 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Strong working knowledge of excel spreadsheets, required formats, skill and ability to independently accomplish tasks using computer software and networks including Windows, Word, Excel, PowerPoint, Outlook and applicable HR software, knowledge of forms and procedures for requesting recruitment supplies, equipment repairs and printing services, knowledge of manuals and regulations, memorandums, policies and procedures. There is no educational substitution for the GS-6 and GS-7 levels. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
