The incumbent serves as the Administrative Support Assistant, to the Caregiver Support Program (CSP) at a VISN 19 facility at Cheyenne, Wyoming. The position is located under the guidance of the, Caregiver Support Program and under the supervision of the Caregiver Support Program Manager. The Caregiver Support Program is part of Social Work Service.
Duties
The Administrative Support Assistant works in support of the Caregiver Support Program Manager, and other assigned program staff. The Program Support Assistant aids the Program Coordinator in getting things accomplished through an extensive knowledge and understanding of the organization, regulations, methods, and the other tools or resources of management. In the absence of the Program Coordinator, the Program Support Assistant will serve as the point of contact for the Caregiver Program and provide vital administrative program information to the Caregiver/Veteran, VA approved Providers and VA Staff.
Duties of the position include and are not limited to:
Handle numerous requests for information such as status of reports, suspense dates, etc. for matters requiring compliance and similar information on behalf of the Caregiver Support Team
Ensures accurate, timely and consistent entry of information into appropriate database(s)
assists the team to ensure the secure transmission and receipt of documents needed to make eligibility, tier level, discharge, and appeal determinations for the PCAFC comply with VHA privacy rules
Acts as timekeeper for Caregiver Support Team, maintaining time and leave records as needed and directed by position supervisor.
Collects and categories of all personnel workload and fiscal reports, as required by the program and as directed by position supervisor.
Participates in training receive education, training and operations guidance as it pertains to the Administrative Support Assistant role on the Caregiver Support Team across VISN's to increase Caregiver Support Team process standardization nationally.
Possesses knowledge of medical terminology and usages, (e.g., medicine, surgical, geriatrics, hospital terms, medical abstracts, nursing, social work, pharmacology, aging, and home health), spelling, grammar, abbreviations, composition, and ability to determine and follow required formats for VA memos and reports.
Ability to adapt to changing situations, to modify plans and demonstrate flexibility in changing circumstances, while displaying a high degree of interpersonal skill
Ability to plan effectively, set priorities, coordinate activities, have a high degree of skill in oral and written communications with a variety of people from different backgrounds and different levels of understanding, and present a positive image of the VA. This may include clerical, technical, administrative, and professional (medical and non-medical) people at all levels in the medical center and community agencies
Demonstrates proficient use of software packages such as Word, Excel
Other duties as assigned
Work Schedule: Monday - Friday, 8:00am to 4:30pm

GS-7 grade level: One year of specialized experience (equivalent to the GS-6 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: knowledge and experience in working with a military Veteran population within a medical/psychiatric environment, time management skills, high level of judgement, independence of action, general latitude for decision making and knowledge of information sources concerning complex questions, policies and procedures within Veterans Affairs and the Caregiver Support Program.
There is no educational substitution for the GS-7 level.
