The incumbent serves as the Program Support Assistant for the Geriatric Research, Education and Clinical Center (GRECC). This position is organizationally located in the GRECC under the supervision of the GRECC Administrative Officer. The GRECC is comprised of approximately 20 employees and numerous trainees from different associated health disciplines.
Duties
Provides a broad range of administrative program support and assists with a wide range of clinical, education, and research projects and proposals undertaken by GRECC faculty and staff. Administrative duties are varied and complex, but consist mainly of supporting the GRECC Education, Evaluation, research, and training program activities.
Serves as the trainee coordinator for the GRECC. Responsible for coordinating the process of bringing on new associated health trainees and medicine fellows (Paid and/or non-paid including facilitating trainee orientation and training activities and logistics, and maintaining electronic listervs for communication with trainees.
Collaborate with program leaders to produce and format program products, including educational materials, manuscripts for publication, and educational and scientific posters for presentation.
Schedules conference rooms and logistics for weekly GRECC conferences, core lectures, case conferences, and other GRECC meetings.
Keeps GRECC trainee, preceptor, and noon conference distribution lists current.
Schedules preceptors from a diverse range of clinical and academic disciplines for the weekly core lectures and case conferences. Sends regular reminders to preceptors in advance of core lectures. Ensures availability of meeting space/supplies for core lectures.
Coordinates the scheduling of trainees for weekly case presentations. Sends regular reminders to trainees in advance of the case presentations. Ensures availability of meeting space/supplies for core lectures.
Schedules professional speakers from a diverse range of clinical and academic disciplines for the GRECC Noon Conference Series. Invites speakers and obtains presentation slides, speaker bios and handouts. Prepares attendee sign-in sheets, handouts, speaker evaluation forms and disclosure forms for weekly conferences. Prepares and distributes documents for remote attendees. Responsible for managing Live Meeting and all technical operations for the weekly conference presentations. Enters conference participant attendance into continuing education system and compiles speaker evaluation data.
Creates certificates of completion for associated health trainees.
Updates the GRECC associated health trainee manual annually, with guidance from the GRECC Associate Director for Education and Evaluation.
Maintains the GRECC Directors calendar. Schedules appointments, coordinates meetings, and/or schedules conferences within the VA and affiliate Universities on programs related to the GRECC and its mission.
Assist with scheduling meetings, including arranging for space, notifying participants, preparing the agenda and minutes, and following-up on all commitments to ensure that necessary arrangements have been made.
Acts as a Personal Identity Verification (PIV) Sponsor for the Service. Determines if new employee, contractor, or affiliate/volunteer applicants are authorized a PIV Card, non-PIV Card, or Flash Badge. Determines if applicant has initiated or already has a current background investigation on record. Sponsors applicant by entering his or her sponsorship information into the PIV System.
Serves as a timekeeper, maintaining accurate timecards and backup material in compliance with VA regulation, policies and procedures. Provides assistance to appropriate GRECC staff on official travel matters.
Serves as a Record Liaison for GRECC, including maintaining a complete and accurate inventory of GRECC records, identifying records scheduled for disposition, and conducting annual internal records reviews to ensure an effective records management program is maintained.
Work Schedule: Monday to Friday, 8:00a.m. to 4:30p.m. (Alternate work schedule can be considered)

GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
Serves as a Trainee Coordinator. Coordinates the process of new trainees facilitating orientation and training activities.
Collaborate with program leaders to produce materials and presentations.
Schedules conference rooms and logistics for conferences, lectures, and other meetings.
Provides advice to research investigators on budgetary, finance, purchasing, and contracting issues.
Generates obligations for patient payment, IPA Agreements, and tuition reimbursements.
There is no educational substitution for the GS-07 level.

Participation in the seasonal influenza program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP). It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities.
