Serves as a Program Support Assistant for Mental Health Services at Williams Jennings Bryan Dorn VA Medical Center in Columbia, South Carolina. The incumbent provides a variety of administrative and clerical functions in support of the Administrative Officer, Mental Health Service.
Duties
The incumbent works directly for the Administrative Officer, Mental Health Service Line who works directly for the Chief of Mental Health Services at the William Jennings Bryan Dorn VAMC. The incumbent provides site specific program support to the Mental Health Program Managers and supervisors, as well as to the Mental Health Service Line Secretary, as needed.
Responsible for overall administrative support and performs technical services for the Mental Health Service.
Prepares correspondence both of confidential and non-confidential nature per VHA and/or service directives and policy.
Provides guidance and advice to facility personnel as appropriate
Clerical/administrative tasks; prepares profiles and schedules, timekeeping, maintaining leave calendars, placing work orders for equipment failures, assists with inventory of equipment.
Serves as the Point Of Contact resource for the Community-Based Outpatient Clinics Program Support Assistants with clerical/administrative tasks under direction of the Mental Health Service Administration Officer
Coordinates with clinical personnel to ensure administrative details are resolved in a competent and timely manner.
Applies administrative policies, implements local policies or procedures, defines administrative requirements, and/or assists the Administrative Officer, Mental Health Service on related issues.
Assists with equipment inventory and tracking and office moves.
Conducts records managements tasks.
Monitors, develops and maintains a complete and accurate filing system for the Service Line (for hard copies as well as the storage of information on shared drive by the use of directories and sub-directories).
Work Schedule: Monday - Friday 8:30am - 4:30pm (subject to change based on agency need)
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Regular Telework 1-2 days per Pay Period.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 position. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience with administrative concepts, principles, organizational functions and practices sufficient to perform assignments (i.e. reviewing publications, directives, encounter reports, correspondence both of confidential nature and non-confidential correspondence); Communicate effectively both verbally and in writing; Proficiency with various computer programs (Microsoft Office Suite, VistA, and CPRS required); Manage and resolve requests for information from internal and external entities; Apply administrative policies, implement local policies or procedures, define administrative requirements; Knowledge of scheduling policies and procedures and skill to analyze and troubleshoot scheduling concerns, open encounters, underutilization of appointments and works to optimize access.

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. The incumbent must be able to adjust to changing workload demands.
