This Credentialing Program Assistant position is located in the Specialty Care Service at the West Roxbury, MA campus of VA Boston Healthcare System.
This position is full-time at 40 hours per week.
Duties
The incumbent is responsible for direct coordination of the credentialing and privileging process of the members of the Medical Service (Physicians, RNP's & PA(C)'s) as well as indirect overseeing of the credentialing and privileging process/scope of practice of the Emergency Physicians, Primary Care Physicians and Primary Care RNP's.
A successful candidate for this position with have excellent customer service (with Service level leadership and administrators as the clinicians and staff in the Medical Staff Office), strong skills with Microsoft including memo creation in Word, use of filters and organizing data in Excel, and creation of fillable PDF's in Adobe Pro, and outstanding attention to detail. The incumbent must be a strong and respectful communicator, both orally and in written communication. Preference will be given to candidates with project management skills/training and ability to closely adhere to deadlines.
Duties include but are not limited to:
Reaching out to all new physicians, NPs, and PAs in the Medical Service by introducing them to the privileging process prior to start dates, providing them with documents to complete and ensuring correct completion before submitting the completed documents to the Medical Staff Office, and walking them through the document and portal completion process.
Working closely with the Medical Staff Office on procuring and providing documents for clinicians coming up for both new appointment and reappointment.
Serving as the Point of Contact between new clinicians in Medicine and the Medical Staff Office.
Keeping meticulous folders on the Medical Service shared drive, cataloguing all documents and updating the Excel trackers daily.
Reviewing weekly the peer reviews due for new and reappointed providers per specialty and communicating next due peer reviews to specialty leadership and administrators
Utilizing Microsoft Suite, including Word, Excel, and Adobe Pro, to create memos, add signature fields, obtain Service Chief and other leader signatures, file in shared drivers/folders, and communicate final products to Medical Staff Office
Coordinating Microsoft Teams calls as needed and managing Teams calendar invites

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/14/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: perform administrative functions that include technical support, human resource management, analytical and evaluative techniques, logistics and a variety of related administrative matters in support of Surgical and Operating Room services. Administrative functions include: personnel management administration, budgeting and financial management, procurement and contracting, property management, and/or supply.

Physical Requirements: The work is primarily sedentary. However, some walking, bending, reaching and carrying of items such as medical files and reports is required. Commuting between Medical Center divisions, affiliated institutions and sometime staff homes is required.
