The incumbent plays a critical role in tracking and monitoring all administrative components, tracking the progress of high level, high priority, urgent, and/or controversial issues, problems, or situations, scheduling, travel, other duties as needed and responding to all administrative tasks as directed by the Fair Trade Practices Program's Deputy Administrator, Associate Deputy Administrator, Chief of Staff and Senior Advisor to the Deputy Administrator.
Duties
The duties may include, but are not limited to:
Serve as the central point of contact for information on procedures pertaining to administrative management functions across the program.
Accomplishes management projects and coordinates the administrative procedures through knowledge of the day-to-day operations and the long range planning goals.
Receive telephone calls and visitors coming into the office, and escort outside visitors while in the building to ensure visitor and facility safety and accountability.
Serve as the primary timekeeper and assure the timely submission of staff members’ time and attendance reports.
Maintain the calendars of staff and schedules and synchronize meetings and other appointments across programs.
Make travel arrangements, including lodging, ground and air transportation, itineraries, reservations, travel authorizations, and vouchers.
Compose and prepare a variety of correspondence, reports, records, and briefing materials,.
Use database or spreadsheet applications to enter, revise, sort, and retrieve data for reports; and use graphic software to provide charts and graphs.
Manage any procurement actions needed for office management and reconcile purchases.
Requirements

Qualifications
Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including specialized experience and/or education, as defined below.
FOR THE GS-09 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-07 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates:
Providing comprehensive administrative support (e.g., travel, calendar, correspondence) to a senior executive staff member and the respective organization.
Experience managing a records management system and retention of files and records
Interprets and implements administrative regulations or policies to provide advice and guidance to management, personnel and cooperators.
OR a master's or equivalent graduate degree or:
2 full years of progressively higher level graduate education leading to such a degree or:
LL.B. or J.D., if related
Equivalent combinations of education and experience are qualifying for these grade levels.

This education must have been successfully completed and obtained from an accredited school, college, or university
COMBINATION OF EDUCATION & EXPERIENCE AT THE GS-9 GRADE LEVEL: Applicants may have combinations of successfully completed education and specialized experience to meet total qualification requirements. The total percentages must equal at least 100 percent to qualify for that grade level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
