The John D. Dingell VA Medical Center is recruiting for a Program Support Assistant (PSA). The PSA will function in Integrated Clinical Service - Neurology - Spinal Cord Injury / Disability (SCI/D) Program.

Duties

Outreach Coordinator (40%) Provides advice, assistance and coordination in the implementation of outreach initiatives by SC/D Program. Coordinates and provides administrative support to outreach activities and efforts. Identifies barriers to recruitment and proposes action plans. Evaluates and reports on the efficiency of recruitment efforts. Provides regular status reports to management regarding the participation and effectiveness of outreach activities. Participates in outreach planning and implementation. Provides reports and analysis regarding outreach efforts, as well as efficiencies and barriers in relation to these efforts. Maintain Outreach folder on the SC/D SharePoint with updated information, status, and resources. Provides updates regarding outreach initiatives to SCI staff. Ensures appropriate participation, support, and supplies are in place for all outreach initiatives. Tracks the status of each outreach effort, event, and initiative. Gathers information on all initiatives to include point of contact, resources needed, time required, and outcome. Program Support (30%) Provide programmatic support to the CARF accreditation process. Runs reports and provides analysis to support efforts and compliance with guidelines. Primary timekeeper maintaining timecards for all employees under the Neurology Chief's supervision, Serves as Program's expert on Time and Leave Administration, providing information and guidance to all supervisors. Advises Chief and appropriate supervisors on employee time and leave issues when corrective action is being contemplated. Maintains attendance folders for each employee they keeps attendance for so that documentation can be provided to Fiscal/Payroll. Gathers, analyzes and presents data in relation to overtime and leave usage. Serves as the expert on all training and travel processes including submission of documentation for tuition reimbursement in relation to conferences. Reviews documents submitted by staff to ensure that packets are complete before submitting to Education. Reviews and works with the appropriate staff to ensure that all policies and procedures are updated in a timely manner and available on the SCI SharePoint. Administrator responsible for maintaining the SCI SharePoint. Administrative Support (15%) Serves as confidential and personal assistant to ICS supervisors and leadership. Meets with the Chief and AO regularly in order to review calendars, action items, and other outstanding issues. Anticipates the need for information and prepares material so that it is immediately available for the Chief's needs. Gathers material for use in reports and presentations. Maintains Leaderships electronic calendar, making appointments and arranging conferences/ meetings. Reminds Chiefs of appointments and briefs. Makes arrangements for meetings and presentations and sends invitations to all attending. Arranges for transportation/ lodging for participants, compiles agendas, reports and other pertinent information for distribution at meetings. Electronically sends agenda, meeting minutes and all necessary material to participants. Records and transcribes minutes from meetings. Assures that minutes are accurate and complete, copies are sent to the proper personnel and that pending items are completed. Posts all minutes to SCI SharePoint. Interpersonal Communications (15%) Primary POC for SCI Program, performing a wide variety of administrative and technical assignments. Initiates service level orientation. Serves as the liaison for staff when clearing station. Serves as liaison for all visitors and calls to the service. Screens the calls/ visitors by determining the nature of the call or visit, and handles the matter personally or refers calls/ visitors to the appropriate staff. Ensures that requests for action or information are made known to responsible personnel. Coordinates with outside institutions to facilitate programs and research. Controls all electronic and hardcopy correspondence. Receives/ distributes all incoming mail, reads/ analyzes incoming correspondence, electronic mail, publications, and administrative issues. Follows up on incoming correspondence as well as work in progress to ensure timely and appropriate action is taken. Reviews all correspondence for neatness, accuracy, adherence to established format and adherence to policies and procedures. Drafts routine/ official correspondence, social/ personal acknowledgements, congratulatory letters, acceptance letters and routine office reports. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/07/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support, operating a personal computer, using a computer to process and analyze data, sorting and processing incoming correspondence, coordinating with others between various units and offices to accomplish work related projects, analyzing work flow to determine potential problem areas and making recommendations to correct, proofreading documents for grammatical errors, notifying others of pending appointments and meetings, and advising others on processes or procedures. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: ???????This work is mainly sedentary. It occasionally requires carrying of light objects such as files, books and papers; some walking, standing and bending.
