This position will serve as a Program Assistant to the Chief of Polytrauma Rehab Center and Program Manager. This position serves in support of management analysis and program analysis for the purposes of which are to assist the Chief and Program Manager in the evaluation and improvement of the efficiency, effectiveness, and productivity of the Polytrauma Rehab Center organization and its programs.
Duties
Gathering of data to support program manager's assessment of clinician and physician workload, clinical access, clinic utilization, open encounters, consult management and performance measure data from national databases to include VISTA, VSSC and local morning report dashboard.
Controls and maintains office and/or information systems such as forms, records, mail distribution, directives or publications, and management systems.
Organizes office procedures, by identifying required resources, and devising actions to improve and meet the goals and objectives of the Polytrauma Rehab Center such as records, directives, mail, or forms management systems.
Assists with traveler and is authorized to serve as a preparer for Fed Traveler.
Assists professional staff and handles administrative functions for the office.
Provides assistance to physicians, nursing staff, technicians and other personnel in understanding and using the service-related systems and software.
Primary time keeper and responsibility for the monthly Compensation Time for travel monthly report. Initiate and process personnel HR actions for PM&R Service.
Arranges office moves and installation or removal of office equipment.
Serves as ADPAC and PIV sponsor for the PM&R Service.
Work Schedule: Monday - Friday, 7:30am - 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/07/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: analyzing and evaluating methods and techniques for assisting the Manager in solving problems that may arise; using automated systems to enter time cards, process purchase order requests, and invoice review; AND identifying facts from existing data to determine the accuracy and completeness of all HR documents required of employees to include: performance appraisals, competency assessments, job descriptions, functional statements, and employee education and travel.

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
