This position is located within Primary Care Service at the Harry S. Truman Memorial Veterans Hospital in Columbia, MO. The Secretary provides administrative and clerical support to the Chief and Operations Manager of the service line.
Duties

The major duties include but are not limited to:
Screens calls and visitors to the Primary Care office, referring to the Chief or Operations Manager only those calls or visitors requiring their attention;
Schedules appointments for the Chief and ensures the Chief is fully briefed on the matters to be considered before the scheduled meeting;
Personally handles many requests for information and resolves or assists in resolving a variety of complaints made by patients and their families;
Prepares correspondence for the signature of the Chief and Operations Manager and maintains records and files for the same;
Coordinates and prepares the monthly Medical Officer of the Day schedule;
Reviews all incoming correspondence, determines proper action and at times prepares answers before referring to the Chief or Operations Manager;
Composes and edits correspondence and reports, reviews correspondence for accuracy and completeness, prepares presentation outlines, develops standard or form letters and replies to inquiries;
Takes and transcribes minutes of various committees and meetings, coordinates information and prepares folders of material to be discussed;
Ensures the Medical Officers of the Day (MOD) are credentialed and completes necessary paperwork in Human Resources prior to commencing their appointment as MOD;
Provides technical guidance, instruction and assistance to the clerical and clinical staff in the service line on procedural matters;
Serves as primary timekeeper for the service line; and
Performs other related duties as assigned.
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position at the GS-6 level, you must meet the following:
Experience: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-5) in the federal service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of a Secretary, and that is typically in or related to the position to be filled. Specialized experience includes receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda and other forms of written communication; utilizing office automation software and maintaining files. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Physical Requirements: Bending, reaching and lifting is necessary for filing and periodic moving of office furniture. Vision should be sufficient to read from a computer screen for prolonged periods without excessive fatigue. Due to the volume and variety of responsibilities, the person in this position will periodically work under stress and pressure in meeting deadlines.
The person in this position works in the space designated for the Primary Care Service Line office and works with team members as well as various other facility personnel. The person in this position must work with patients that are occasionally irate or mentally disturbed.
