The Secretary for Imaging Service reports to the Chief, Imaging Service & Administrative Officer for Imaging Service & provides direct & broad administrative, secretarial & clerical support. Serves as a liaison for the Chief, Administrative Officer, Supervisory Diagnostic Radiologic Technologists, staff physicians & other personnel within the Imaging Service to accomplish the Service's multi-faceted, diverse assigned tasks & professional activities, all of an administrative or medical nature.
Duties
Major Duties:
Organize varied clerical work in a large governmental/ medical setting.
Organize workflow between the employees of service, supervisors, and chief.
Prioritize tasks and assignments and maintain a suspense system to assure timeliness of correspondence of reports.
Functions as primary timekeeper and back up capacity as needed.
Maintains appointment calendar and schedule appointments and meetings.
Orders and maintains office supplies.
Track, store, collect and compile data for independent analysis.
Demonstrates exceptional and written communication skills.
Ensures completed work is reviewed and forwarded to appropriate personnel in a timely and accurate manner.
Work Schedule: Monday - Friday; 8:00 am - 4:30 pm
Telework: You report to work at a VA leased worksite within the local commuting area of the parent facility a few times per pay period.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/24/2023.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Preparing various types of documents for administrative reports, letters, memos, and spreadsheets using proper administrative procedures, grammar, spelling, punctuation, and required formats; Utilizing filing system in order to establish, maintain, and retire files; Operating a word processor/computer and typewriter as a qualified typist; Taking and transcribing dictation, when necessary, whether it is in order format or on tape; AND Utilizing timekeeping policies in reporting attendance, overtime/comp time policies and payroll applications. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond 4 years above High School.
In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
