This is a Program Support position, within the Cardiology Department of the VA Boston Healthcare System and will report to the Administrative Officer of the service and work closely with the Chief of Cardiology located at the West Roxbury Campus.

Duties

The Program Support Assistant independently resolves daily workplace issues and maintains efficient workflow. The incumbent is responsible for and manages planning, invitations, and resolving issues related to the weekly Cardiology Grand Rounds and other conferences, SPOK On-Call schedules for all of Cardiology, Preceptor schedules for the Fellows in the Outpatient clinics, and managing OPPE/FPPE for all new and renewal reappointments. This is particularly onerous as it involves the renewal of appointments for over 50 Fellows per year, in addition to recurring appointments for Attendings and NPs. The incumbent is also the timekeeper for Cardiology staff and acts as a back up for other T&L'S for Cardiology and Medicine. He/She assists with the Annual Littman Lecture by inviting over 150 Medicine and Surgery specialists and Fellows from Boston and the New England Area, works with the AO and Chief to plan the event, organize meals, and generate final lists of attendees. The position also monitors compliance throughout the Cardiology Service, and reports compliance to the AO of Cardiology and other duties as assigned. The incumbent assists operations for human resources and logistical support to the service including budget, fund control points, personnel and human resources issues, supplies, time cards, back-up timekeeper for all of the Medical department, ensuring adequate program support coverage at our various campuses, education reports, customer service, data collection and analysis, and updating and assisting the Chief of Cardiology, and the Directors of the sub-specialties (11 sub-specialties in total) especially with the overall management of their respective clinics and research. This involves both long- and short-term planning for the clinical administrative functions of the units. The incumbent ensures all VA and Joint Commission standards are met and appropriately incorporated into Cardiology Service policies and procedures. In some cases, more than one SF-50 may be required to show a higher grade previously held. This is an NAGE Bargaining Unit position. Interchange Agreements with Other Merit System: Employees who occupy medical or medical-related positions and were appointed under 38 U.S.C. 4701(1) or (3) [formerly 38 U.S.C. 4104 (1) and (3)] must be serving in a full-time position without time limit and have served continuously for at least one year in this other merit system to be eligible to convert to the Title 5 System. Some exceptions to this rule may apply if you have previously acquired tenure under a Title 5 appointment. This position is covered by locality-based comparability pay. The incumbent may be required to travel to other VA Boston campuses and CBOC's. Incomplete applications will not be considered.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/28/2023. You may qualify based on your experience and/or education scribed below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using various management tools and techniques for gathering, analyzing, and reporting data. Presenting seemingly unrelated information in a cohesive and relevant format. Initiative in planning and completing assignments. Understanding composition, grammar, spelling and punctuation. Arranging all typed materials so that it conforms to formats for publication that may be highly stylized and complex. Using a variety software programs such as Microsoft Word, Excel, PowerPoint, and Adobe Pro. Operating office equipment i.e., photocopier, printer, fax machine, multiline telephone, calculator, dictation equipment and multi-function devices. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Preferred experience: Strong written and verbal communication skills, strong organizational and time management skills, good understanding of military culture, excellent typing, strong interpersonal skills, understanding of VA systems, excellent computer skills including Microsoft(Excel, Word, Teams etc.), data collection" Physical Requirements: The work is generally performed in an outpatient/office setting of the Medical Center. The environment involves those everyday risks or discomforts, which require normal safety precautions typical of such places as offices and meeting rooms. Although the employee works in a health care facility where exposure to contagious diseases and carcinogenic materials exist, the tasks required for this position do not put the employee at a serious risk for this type of exposure. The work area is adequately lighted, heated, and ventilated. From time to time, travel by government vehicle as indicated by the CSP Coordinator may be required.
