The primary purpose of the position is is to provide principal support to the Head of Exhibitions as well as administrative and technical support for division-wide operations, and initiatives as directed by the Head of Exhibitions. This position is in the Division of Exhibitions (PEX) of the National Gallery of Art, on the Exhibitions, Collections, and Programs’ (P) staff, and reports directly to the Head of Exhibitions.

Qualifications

Candidates must meet the Qualification Standards Handbook requirements for the GS-301-9. A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the GS-7 in the Federal service. Specialized experience is at least one year of experience, equivalent in responsibility to the GS-7 grade level in the Federal service, providing principal support to the head of exhibition in the areas of procurement, purchase card management, travel coordination, administrative support, curatorial assistance, and the ongoing coordination of selected activities. Those applicants who meet the minimum qualification requirements will be evaluated against these factors to determine the best-qualified candidates. 1. Analytical and evaluative ability sufficient to develop, implement, and maintain organizational systems and software to improve the administrative efficiency and communication across the Division. 2. Familiarity with an art museum’s general activities and particularly the work of an exhibitions department. 3. Proficiency in organizational, administrative, communication, and problem-solving skills. Ability to quickly learn and apply institutional policies and procedures. Organizational ability, exhibiting precision, accuracy, consistency, and attention to detail. 4. Knowledge and skill in compiling and processing various types of data. Proclivity and proficiency in developing, using, and maintaining spreadsheets, databases, and other technological platforms that support effective data visualization and analysis. 5. Ability to organize and implement diverse projects simultaneously, within established deadlines, and to respond quickly, courteously, and knowledgeably to requests for information and materials. 6. Demonstrated knowledge and experience dealing effectively with a wide variety of people in a courteous, tactful, diplomatic, and responsible manner. 7. Ability to exercise diplomacy and discretion especially when dealing with sensitive or confidential information; ability to maintain confidentiality and to demonstrate sensitivity and understanding as to which matters are sensitive and confidential. 8. Skill with personal computers and peripheral equipment (including printers, copiers, and scanners), thorough knowledge of word processing, spreadsheet, database, and scheduling software programs used in the PEX office (including but not limited to Microsoft Office Suite– Word, Excel, Teams, and Outlook – Wrike and The Museum System (TMS).9. Ability to track budgets, including federal, trust and grant funding, and create accurate reports, and familiarity with federal and trust procurement and basic contracting procedures. 10. Basic accounting skills and math accuracy and knowledge of the procedures involved in creating requisitions, using the National Gallery’s purchase cards, managing purchase orders, and in following regulations enforced by the Procurement Office; in arranging and processing official travel, and in budget tracking and reporting.
