This position description describes the role of the Administrative Support Assistant located within the Care Management & Social Work Service (CM&SW) at the Eastern Colorado Health Care System (ECHCS). The incumbent's duty station is Ft. Carson, CO with occasional travel to other ECHCS facilities. This primary responsibility of the ASA position is to provide administrative support to VA /DoD Liaisons.

Duties

Data Collection & Tracking The incumbent is responsible for collecting, compiling, and tracking statistical information in support of program operations for the M2VA program. The incumbent tracks achievement on performance measures, goals, and objectives; receives and processes documents and reports in accordance with established procedures; uses software applications throughout DoD and VHA to draw information from a wide variety of sources in order to prepare, create, and finalize reports; and assists in the planning, review, and reporting of data/statistical results of program studies. The incumbent retrieves a variety of computerized data, establishes protocols for incoming data, and organizes and maintains data. The incumbent tracks and trends issues related to program effectiveness and role implementation; assures that all staff members under the M2VA section are aware of current Service Member records in the Federal Case Management Tool (FCMT) for patient services and names of clinics utilized by the program; utilizes statistical data to compile monthly workload reports, summary of referral reports, consult and productivity reports as requested for all program staff; assists with keeping program staff apprised of patient census and any changes/problems that might be encountered; participates in performance improvement activities related to the program quality improvement process; and offers performance improvement advice to program staff. The incumbent is responsible for providing data/reports related to the administrative, clinical, and technical aspects of the program to the VA Central Office, CM&SW Service at ECHCS, Military2VA Program Manager, and Administrative Officer for CM&SW. The incumbent will manage the patient flow through the VA/DoD Liaison program, with a goal of compliance with VHA directives and performance measures at all times. Program Support Duties are varied, non-routine, and consist of handling data and coordination for M2VA program patients, family members, military personnel, and Military Treatment Facility Liaisons. The incumbent will serve as a point of contact for patients, medical center staff, VACO VA/DoD Liaison Program staff, community agencies, and various others who contact the VA/DoD Liaison Program office. He/she will also assist with any future proposals/projects that are implemented and will be responsible for participation in special events connected with the VA/DoD Liaison program. Administrative/Clerical Support The incumbent will aide in credentialing of Social Workers in those disciplines when needed. He or she will maintain calendar of appointments for meetings, conference calls and other various scheduled activities. The incumbent will schedule conferences, coordinate meetings, and take minutes of various meetings pertaining to the program and any future proposals/projects. Personnel actions will be generated and monitored to completion. Incumbent serves as the initial contact/receptionist for customers by phone or in person for the program and has the ability to triage all calls for urgency and/or assimilate all information necessary for professional staff to respond to telephone calls and/or will refer to proper source. The incumbent will take accurate messages and forward to appropriate staff in a timely manner. Incumbent must utilize independent judgment and have an extensive knowledge of program policies and procedures to provide support and reassurance to the caller while collecting appropriate data for referral to professional or other staff. The incumbent utilizes a variety of software programs and communication tools to input and retrieve data as required. The incumbent accurately collects, enters, and manages data, including both patient data and program data. He/She manages communication and data from both DoD and VHA sites in order to accomplish the mission of the Liaison Program. Performs other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/24/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks as a GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade of GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Provide customer service (in person, over the phone, appointments and events) for the program; Act as a central resource person for implementing and maintaining office control systems, such as those for the location, arrangement, access to, and use of office files, and for maintenance, transfer, and disposition of records; Handle data and coordination for program patients, family members, military personnel, and Military Treatment Facility Liaisons; Use software applications throughout DoD and VHA to draw information from a wide variety of sources in order to prepare, create, and finalize reports; Collect, compile, and track statistical information in support of program operations. Physical Requirements: The work is sedentary. The employee sits comfortably to do the work assignments.
