The position is located at the PFC Floyd K. Lindstrom Outpatient Clinic, Colorado Springs, CO. The Administrative Support Assistant is to support daily functions for the Southern Colorado Region of Eastern Colorado Health Care System. The incumbent performs specialized duties in a defined function to support both VA employees and Veterans. The work requires independently understanding setting priorities, importance of building interrelationships and resolving conflict or issues as they arise.
Duties
Duties include but are not limited to:
Assisting customers by telephone and in person; handling routine requests and directing contacts to required staff requiring attention.
Processing incoming and outgoing correspondence, action items, reports, mail, memoranda, and other forms of written communication.
Ordering office supplies, scheduling appointments/conferences, coordinating meetings, and preparing minutes.
Researching and providing background on subject matter of meetings without direction; Attending meetings and following up on action items with appropriate staff members independently.
Providing day-to-day management of all Information Desk functions to include, but not limited to; providing work assignments, assuring resources are readily available, providing service as an initial Veteran engagement by assessing Veteran's needs and referring to appropriate level of assistance accordingly, responsibility for training staff on Customer Service, updating public displays, information packets, and announcements, educating Veterans on the check-in process and clinic processes, oversee and trains Volunteers and Work Study Students, and maintaining wheelchair distribution to include infection control.
Providing operational and administrative functions that support Primary Care Service, Surgical Service, Mental Health, Dental, Ophthalmology, Engineering, Police, Physical Medicine and Rehab Service, Pharmacy, Hospital Administration Service, Social Work, Dietician, Nursing, Tele-health, Human Resources, Logistics, OI&T and Voluntary Service; Overseeing compliance with guidelines of the Department of Veterans Affairs, the Joint Commission for the Accreditation of Health Care.
Interpret the Health Care System's mission, policies, procedures and available resource/services to the patient and present the patient's problems and needs to appropriate staff and management.
Collecting data for the office operating budget, consolidating material into an annual budget; setting up controls to monitor expenses during the year; and recommending budget estimates adjustments.
Responsibility for the Administrative Office Fund Control Point and the Government Purchase Card.
Work Schedule: 7:30 am to 4:00, pm Monday through Friday

Physical Requirements: The work is sedentary however some duties may require standing, walking, bending and carrying light weight objects. The incumbent will typically work in a well-lighted office environment. Use of phone, computer equipment, and software typical to a business environment will be required. On occasion, the ability to lift less than 25 pounds. Position requires operation of motor vehicles to include travel to outlying Community Based Outpatient Clinics (CBOCs) and Rocky Mountain Regional VA Medical Center.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
Practical Knowledge of an extensive body of the rules and regulations governing confidentiality, including but not limited to Privacy Act, HIPAA, the Freedom of Information Act (FOIA), and governing the release of records containing patient information;
Basic working knowledge of organizational management with a foundation of administrative concepts, principles, and practices.;
Working knowledge and experience of computer programs and local systems software functions;
Ability to communicate orally and in writing for effective communication and to prepare clear, concise reports, correspondence etc.;
Ability to address possible negative concerns and/or issues with customers;
Knowledge of relative importance of each program area within the healthcare system and how it relates to and affects the mission of ECHCS.

Education
There is no educational substitution for the GS-06 level.
