This position is located at the Veterans Health Administration, Edward P. Boland VA Medical Center in Leeds, Massachusetts. The primary purpose of this position is to provide program support and administrative assistance to the EMS Chief and staff. The incumbent assists with all aspects of administrative management of EMS to include Human Resources staffing, preparation of position management, and database development to automate processes within the EMS organization.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Oversees the systems flow of the Office of Environmental Management Service (EMS) . Tracks and maintains all current documents necessary to meet requirements of accrediting bodies such as The Joint Commission. Collects and maintains Regulated Medical Waste (RMW) manifests and data tracking. Collects and maintains laundry weights for clean and dirty linen to and from the campus. Collects and tracks Quality Assurance Data in all forms including paper, digital and online version. Provides administrative processing and tracking of lost patient effects correspondence. Prepares monthly Waste Management Monitoring Reports. Responsible for providing statistics as requested including housekeeping, laundry, waste management, pest control, safety, etc. In charge of Patient Assistance Program. Apprise supervisors of status of personnel actions and ensures timeframes are met on grievances. Provides administrative support to EMS as a fund control point clerk in support of budget administration and financial systems. Monitors Control Point funding and submits necessary funding requests as directed by the Chief, EMS. All other administrative duties as assigned. Work Schedule: Monday through Friday, 8:00am to 4:30pm Recruitment & Relocation Incentives: Not authorized Critical Skills Incentive (CSI): Not Approved. Financial Disclosure Report: Not Required

Qualifications

To qualify for this position all applicants must meet one the following: Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-4) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Program Support Assistant), and that is typically in or related to the work of this position. Specialized experience includes: performing a full range of administrative support for an office; prepare and maintain charts, data, reports, and statistical material; answers phones, take messages, and provide general guidance; prepare letters, memorandums, and other correspondence; perform data processing support; utilize office automation software such as Microsoft Office (MS Word and Excel); communicates both verbally and in writing; NOTE: Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. ~OR~ Education: Successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. Education cannot be credited without documentation. ~OR~ Combination: Equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required as well as walking around the facility.
