This Program Support Assistant position is located in the Quality Management Department at VA Central Western Massachusetts Healthcare System and serves as a direct liaison to the Facility Director's Office.
Duties
This position will carry out administrative duties to support the daily office operations and provide support to the Chief of Quality Management and Quality Management staff.
Major duties include but are not limited to:
Gather information as requested, assist with a variety of clerical duties contributing the efficiency and effectiveness to accomplish the objectives of the QM Department.
Interacts with members of the organizations, establishing meetings and recording minutes, preparing documents, assisting in administrative problems such as document storage and organization, requesting supplies, equipment and entering work orders.
Performs administrative office work which requires the use of software applications such as Microsoft Excel, Microsoft Word, Microsoft Access, VISTA and computer equipment.
Monitors organization program activities to analyze trends, extract and summarize program data, prepares charts, graphs, compiles data and prepares statistical reports used for quality improvement.
Reviews and interprets directives, instructions, regulations and hospital policies and delegation of authority for potential impact on program objectives, operating policies, work operations.
Effectively communicate and provide information by relevant methods internal and externally to assists and facilitate organization operations.
Responsible for answering a multi-line phone system while handling a low volume of calls as well as greeting walk-ins.
Provides a channel through which Staff within the department or throughout the facility can seek solutions to problems and concerns.
Work Schedule: Monday-Friday, 7:30am-4:00pm. Schedule may be adjusted to support facility needs.
Telework: May be available at supervisor discretion.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/24/2023.
You must qualify based on your experience and/or education s described below:
GS 05
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-04) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving phone calls, establishing meetings and recording minutes, preparing documents, ability to extract information and present it in a variety of programs (Excel, PowerPoint, etc.), requesting supplies, equipment and entering work orders. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. Degree must be relevant to the position to be filled. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. The education and experience must be directly related to the work of the position to be filled.
Typing Requirement (for OA positions): In addition to the experience/education requirement above, qualified candidates must also meet the requirement of 40 words per minute typing speed. Applicants may meet these requirements by passing the appropriate performance test, and presenting a certificate of proficiency from a school or other organization authorized to issue such a certificate, or, by self certifying their proficiency in detail on their resume. The VA Medical Center reserves the right to verify the proficiency skills of self-certified applicants by administering the appropriate performance test.

Physical Requirements: The work is usually sedentary, but it requires periods of walking, standing, bending or climbing, and employees may carry light items such as books, instruments, laptops, and other similar materials.
