The incumbent provides administrative and program support for the Critical Care Unit (CCU) Clinical Managers (CM's) within Inpatient and Emergency Services Division.

Duties

Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the section. Completes special research projects in support of the policy development and/or technical/program activities of the organization. Assembles and summarizes data, background information, and other materials from publications and other sources. Assists the CM's in providing, updating, photocopying, and distributing materials for staff education. Performs timekeeping for CCU Administrative staff. The incumbent is the key advisor to management/administration and researches, evaluates, and recommends appropriate actions to management/supervisors regarding staff timekeeping, and leave issues. Responsible for supplying, ordering, and inventory of office supplies for the CM's. Resets passwords, unlocks accounts, tracks and assigns tasks for all employees of the division in the VA Learning Management System. Creates, reproduces, implements and updates resource manuals for the staff on the CCU and admin staff for IESD. Produces reports for Clinical Managers reflecting data and information acquired from various sources in and outside of the organization verifying relevancy of information as it pertains to the goals of the division. Creates, maintains and develops intranet sites for the division including working with units in our division to develop new sites catering to the units needs, updating of current statistical information to be posted, ensuring proper operational capacity, verifying all Section 508 requirements. Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of an organization's program operation. Updates, maintains and tracks information concerning all personnel within the CCU including names, service records, employee competencies, personal contact information. Creates, deletes, maintains, controls and provides access to the division's electronic files. Receives, assigns, and monitors externally and internally generated correspondence and inquiries. Schedules meetings, travel and training sessions. Maintains office to include, but not limited to answering phones, setting up files, sorting mail, maintaining bulletin boards, ordering supplies, course registration, reserving room and equipment for classes. Performs other duties as assigned. Work Schedule: Monday - Thursday, 7:00 am - 5:30 pm, (Compressed tours available) Position Description Title/PD#: Program Support Assistant/PD21714A Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.

Qualifications

To qualify for this position, applicants must meet specialized experience within 30 days of the closing date of this announcement. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Extensive knowledge of software programs such as VISTA, Access, MS Word, Excel; Knowledge of medical terminology; Scheduling and maintaining calendars; Performing timekeeping duties; data entry; Collecting, compiling, and tracking data/ statistical information to generate reports and correspondence. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week.
