This position is located in the Pharmacy Service at the VA Portland Health Care System in Portland, Oregon. The incumbent reports directly to the Pharmacy Services Administrative Officer and provides administrative, data management and analytic support to supervisors, directors, committees and special project teams of the Pharmacy Service.
Duties
Major duties include but is not limited to:
Routinely mine, collect, compile and track data
Must be skilled in the use of MS Office programs (i.e., Outlook, Excel, SharePoint, etc.) as well as proficient with other specialized software such as SQL, VistA, and the Computerized Patient Record System (CPRS) to access pertinent information on an as needed basis
Must be a qualified typist
Identifies and navigates data sources (standard/ non-standard) as well as identify the best ways in which to apply such data to both standard/routine and unique reporting functions
Maintain and/or enhances standardized/routine, program specific reporting
Develops unique/special project reports based on identified reporting/project goals and strategic needs
Identifies and complete projects to update office documents, standard operating procedures and related materials
Maintains compliance with regulatory requirements
Develops program information and resource materials
Manages agendas, minutes, and follow up support to the committees
Establishes and maintain files of correspondence and other documents related to investigations, performance appraisals and other sensitive matters
Searches and provides all appropriate reference material
Serves as Pharmacy Service's primary Talent Management System (TMS) Administrator and service level TMS Subject Matter Expert (SME)
Serves as a Timekeeper for the Pharmacy Service
Routinely completes tasks such as scheduling interviews, submitting and tracking work orders, mail pick up and distribution, coordination of timely, proper completion of the Pharmacy Service's annual performance appraisal process
Serves as the Subject Matter Expert (SME) for the Pharmacy Service Records Management Program
Responsible for maintaining service level records, develop tools and relationships that promote the effective coordination and management of the Program, responsible for using significant judgement to analyze and resolve issues involving the development and maintenance of records management systems
Performs other related duties as assigned
Work Schedule: Monday - Friday, 7:30 am - 4:00 pm or 8:00 am to 4:30 pm

Physical Requirements: The work often permits the employee to sit comfortably in a chair seated in front of a computer workstation, and places no extraordinary physical demands on the individual. The work includes
moderate walking, standing, bending, and carrying of light items such as papers, books and small packages. No special physical demands are required to do the work.

Qualifications
To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement.
GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Use MS office programs ( excel, word, teams, power point, etc.); Mine, collect, compile and track data from various sources; Manage agendas and minutes for the service; Documents and files organization and maintenance; identify and complete projects to update office documents, standard operating procedures and related materials; perform timekeeping duties.
Typing Proficiency: In addition to meeting Specialized Experience you must meet the typing proficiency: of 40 words per minute typing speed. Applicants may meet this requirement by presenting a certificate at the time of application of proficiency from a school or other organization authorized to issue such certificates or by self-certifying their proficiency.
There is no educational substitution for the GS-06 level.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
