This position is located in the Erie VA Medical Center's (MC) Logistics Department reporting to the Assistant Chief Supply Chain Office. The position is the principal clerical or administrative support position in the office, operating independently of any other such position in the office. The incumbent assists three managers, and subordinate staff of those managers, by performing general office work auxiliary to the tasks of the Logistics Department.

Duties

Operating a variety of reproduction equipment to include set up, operation, adjustments, and monitoring operations of single and multiple function equipment such as a copier and wide format printer. Formatting and producing all patient letters (appointments, notifications, etc.) and graphic media products (pamphlets, posters, flyers, etc.). Operating reproduction machines to make a variety of forms, and letters from originals. Reproducing, editing and producing documents from digital and non-digital sources. Receives and reviews incoming correspondence; screens for general information and determines priority or deadline dates. Determines what correspondence can be personally answered. Responds to routine and nontechnical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from local files. Forwards remaining requests to supervisor with back-up information, if necessary. Reviews documents and outgoing data and communication: prepared for signature of or requiring coordination by management for appropriate tone; conformance with regulations, grammar format, and special policies of the activity; and completeness of information. Returns inadequate communications to originator for correction when not in conformance with known policies, or when correspondence regulations have not been followed. Reviews and prepares all action items received by the organization. Thoroughly screens material prior to distribution for suspense dates, establishes controls, and follows up on responses which are due. Ensures that correspondence is properly routed in a timely manner. Compiles information for and prepares a variety of recurring and one-of-a-kind detailed reports and documents using a variety of computer software. Ensures that reports are prepared and forwarded within established timeframes. Assists supervisor and subordinates in the procedural aspects of expediting the work of the office by explaining reporting requirements, arranging for submission of data to be assembled by incumbent in general reports. Assists in the drafting and review of committee charters, policies, and standard operation procedures. Supports performance of a variety of personnel actions including, but not limited to, hiring actions, performance appraisals, travel arrangements, physical access and computer network requests and periodic reviews. Responsible for maintaining an adequate inventory of daily office supplies. Serves as the primary timekeeper and records management clerk for the department. Work Schedule: Mon - Fri, 7:30am to 4pm OR 8am to 4:30pm Position Description Title/PD#: Program Support Assistant Physical Requirements: The work requires some physical exertion such as frequent bending, reaching, stooping, twisting or similar activities necessary to set-up, operate, adjust, and monitor the operation of the equipment. The incumbent lifts, on a recurring basis, a variety of moderately heavy materials and supplies. Qualifications

Do you possess at least one (1) full year of specialized experience, which equips you with the particular knowledge, skills, and abilities to perform successfully the duties of the Program Support Assistant, GS-04 position, and that is typically in or related to the work of the position to be filled. To be creditable, this specialized experience must have been equivalent to the grade 04 level in Federal service to qualify at the grade 05.Examples of specialized experience include: 1) Operating a variety of reproduction equipment. 2) Formatting and producing all patient letters (appointments, notifications, etc.) and graphic media products (pamphlets, posters, flyers, etc.). 3) Setting up, operating, adjusting, and monitoring operations of single and multiple function equipment such as copier and offset press. 4) Operating reproduction machines to make a variety of forms, and letters from originals. 5) Reproducing, editing and producing documents from digital and non-digital sources. Note: Evidence of specialized experience must be supported by detailed documentation of duties performed in positions held on your resume. You must provide work experience information such as hours per week, salary, and starting/ending dates of employment (month and year format) to establish you have one (1) full year of Specialized Experience at or comparable to the required grade level. OR GS-05: Substitution of Education for Experience (TRANSCRIPTS REQUIRED): Do you possess Four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. OR GS-05: Combination of Education and Experience (TRANSCRIPTS REQUIED): Do you possess a combination of successfully completed education and experience to meet the total experience requirements. (i.e. 6 months of specialized experience and 3 years of education above the high school level). NOTE: Only education beyond the second year can be used in combination with specialized experience to qualify for this grade. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
