The Secretary position is located within the Office of the Director, within the Minneapolis VA Health Care System. The Secretary will provide administrative support to the leadership team of the office (Chief of Staff, Deputy Chief of Staff, Staff Assistant/Health System Specialist to the Chief of Staff). The Secretary will carry out and coordinate all the clerical and day-to-day administrative support activities.
Duties
Duties include, but are not limited to:
Provide clinical oversight to ensure the quality, effectiveness, and efficiency of clinical care delivered by medical staff in the medical center and our community based outpatient clinics. Coordinate with physician directors of the health care system's service lines, all of whom report directly to the Chief of Staff.
Provides administrative assistance in the oversight of major personnel actions, equipment and space planning, budgetary decision making, patient safety and providing strategic leadership to foster continued excellence in for clinical programs.
Utilize critical thinking to successfully schedule numerous complex appointments involving the Chief of Staff/Deputy/Staff Assistant and multiple Minneapolis VA Health Care System (MVAHCS) leadership staff with conflicting schedules.
Make airline and hotel reservations for trips taken by the Chief of Staff/Deputy/Staff Assistant and other Chief of Staff Office personnel, coordinating electronic travel plans, expense reports, and travel packets, maps, agendas, etc.
Review documents prepared for signature or requiring coordination by managers for conformance with regulations, grammar, format, and special policies of the installation.
Provide advice and instructions to subordinate offices through discussions with author or staff to obtain higher degree of compliance with general installation policies and correspondence regulations.
Obtain information required by management from various sources within the VA. Collects such information, presenting in its original form or editing and revising as necessary.
Work Schedule: Monday - Friday, 8:00am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for Ad Hoc only telework. Telework eligibility will be discussed during the interview process.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Specialized experience includes: Performing timekeeping duties; preparing written correspondence; scheduling appointments and/or meetings; researching guidelines, rules, directives and/or regulations; maintaining electronic files. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
