This position coordinates the day-to-day clerical/administrative support activities required to accomplish the work of the Office of the Associate Director Patient Care Services (ADPCS) and Deputy Nurse Executive.

Duties

Major duties include but are not limited to: Provide clerical/administrative support to the Office of the Associate Director Patient Care Services (ADPCS) and Deputy Nurse Executive. Serve as a subject matter expert and consultant for administrative and clinical staff on various matters. Establish internal procedures to secure adequate control of deadlines, progress reports, and directives to increase the general flow of information and overcome bottlenecks in the administrative process. Serve as a backup in the absence of the ADPCS/Deputy Nurse Executive, ensuring the administrative flow. Maintain performance evaluations, competencies, and other personnel paperwork for all ADPCS/Deputy Nurse Executive reports. Schedule numerous complex appointments involving the ADPCS/Deputy Nurse Executive and other leadership staff. Handle requests for information made by staff and patients and assist with complaints. Determine the nature of calls or business of visitors, assess the importance, and route when necessary. Perform timekeeping duties for all ADPCS staff and various direct reports. Make travel arrangements for ADPCS personnel, coordinating expense reports, travel packets, maps, agendas, etc. Apprise the ADPCS/Deputy Nurse Executive of issues meriting their attention when needed. Review documents prepared for signature or requiring coordination by managers for conformance with regulations, grammar, format, and special policies. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/31/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position, you must have served 52 weeks at the GS-06. For a GS-08 position, you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience, as described below: GS-07 You must have one year of specialized experience at the next lower grade level (GS-06) in the Federal service that has equipped you with the knowledge, skills, and abilities to successfully perform the duties of the position to be filled. Examples of specialized experience would typically include, but are not limited to: knowledge of clerical and administrative support services in a clinical and/or office setting; performing non-routine assignments; noting and following up on agreed-upon action plans; prioritizing and coordinating the work of an office with that of other offices; locating and summarizing information from files and documents; composing correspondences and minutes from recorded or written material; and using a variety of different software, including PowerPoint, SharePoint, Word, Excel, Access, Teams, MS Outlook and Calendar, etc. GS-08 You must have one year of specialized experience at the next lower grade level (GS-07) in the Federal service that has equipped you with the knowledge, skills, and abilities to successfully perform the duties of the position to be filled. Examples of specialized experience would typically include, but are not limited to: comprehensive knowledge of the duties, priorities, commitments, policies, and program goals of the ADPCS, Deputy Nurse Executive, and our Integrated Care Communities (ICCs); managing sensitive information, including patient concerns, that could result in litigation and disciplinary/adverse actions, maintaining good judgement and confidentiality at all times; solving problems requiring awareness by and/or action by the ADPCS; serving as a subject matter expert and consultant for administrative and clinical staff on a variety of matters; noting and following-up on commitments made at meetings and conferences by executive team members, leaders, department heads, and other staff members; shifting clerical staff in subordinate offices to take care of fluctuating workloads; and using a variety of different software, office automation, and VISTA computer systems. Typing In addition to meeting the specialized experience requirements, applicants must be able to type a minimum of 40 words per minute (WPM). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The position is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; and driving an automobile, etc. No special physical demands are required to perform the work.
