The incumbent assists the Associate Director of Finance and Information Management of the New York Harbor Healthcare System. This critical position ensures that the numerous important, daily administrative functions of the Associate Directors office are carried out seamlessly and efficiently.
Duties
Display knowledge of the organization and Ability to perform administrative and installation organizations (such as Personnel, Public clerical functions . Affairs, Legal Office, etc. ) required to coordinate the work of the office and for recognizing the need for such coordination in various circumstances.
Use standard office equipment, such as electronic various computer software applications typewriters, copiers, fax machines, and office and office equipment. automation systems.
Arranges meetings/ conferences to include preparing meeting agenda, notifying participants, arranging luncheons and similar matters.
Following VA Travel regulations, the incumbent will make/set travel arrangements for the Associate Director whenever they travel.
Writes correspondence for the Associate Directors Signature.
Attends meetings, records the minutes, summarizes the minutes and distributes the minutes to appropriate officials.
Responsible for assuring the confidentiality of matters related to the Department of the Associate Director. To this end, the incumbent establishes and maintains the Associate Director's personal file of correspondence and documents concerning such matters as pending administrative investigations, subordinate personnel (e.g. performance review, disciplinary actions, etc)
Writes various correspondence and reports from handwritten drafts into proper format. Responsible for correct grammar, capitalization, punctuation.
Responds to inquiries and administrative problems brought to the Associate Director by members of the staff and officials of the agency's central office, state and local governments, other hospitals and organizations, other Federal agencies, and congressional staff.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/17/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the Associate Director's views, sufficient to enable the incumbent to perform duties such as developing material for the Associate Director's use in public speaking events. Skill in advising and instructing secretaries in subordinate organizations concerning such matters such as memoranda, reports, correspondence and telephone procedures.

Physical Requirements: The work is sedentary. It occasionally requires carrying light objects such as files, books and papers. No special physical qualifications required.
