Duties

Please Note: Employees will be required to report to their assigned office location at least 2 day per week for non-supervisory positions and 3 days per week for supervisory/managerial positions unless the position advertised is designated as a remote-only position. This position is located in the Office of the General Counsel and works under the supervision of the Assistant General Counsel for Administrative Law and Board Support. The incumbent performs a wide variety of technical and administrative functions in the following areas: Corporate Secretary duties serving as the central coordination point of contact for Board operations, Litigation Support, Ethics and recordkeeping, especially historical and institutional records. Duties include, but are not limited to: Working as an Assistant Corporate Secretary or Executive Administrative Assistant serving as the central coordination point of contact for Board operations, which includes setting deadlines among and following through with stakeholders, marshaling information notices and reports, overseeing public and private Board-related postings, possibly including posting Federal Register notices, and regularly conducting conflicts. Planning and coordinating meetings and meeting agendas, and compiles, prepares, and distributes documents for. the Board of Directors and Committees of the Bank. Composes Board meeting scripts and minutes, coordinates with outside court reporting services, coordinates with other agencies to disseminate Board agenda materials and finalizes post-Board meeting transcripts. Preparing various correspondence, as well as briefs, summaries, records, and other types of communication to internal and external stakeholders at various levels in an organization or agency including senior staff members. Assisting administrative attorneys with legal research and retrieving all potentially relevant historical Board records and research material. Attending Board meetings, handles audio recording, prepares and distributes the minutes of meetings, posts Board meeting minutes on Max.gov or other successor website, and posts on SharePoint for staff reference, maintains official copies of the Board Minutes. Preparing a written Summary of Minutes to be released to the public and posted to the Bank's external website. Working collaboratively together with the Corporate Secretariat, in being responsible for the day-to-day aspects of Board activities and interfacing with Divisions throughout the Bank.

Qualifications

Specialized Experience (Credit for Specialized Experience on resume must reflect 40 hours/Full-time per week for each period of work): GS-12: You must have one (1) year of specialized experience that has equipped you with the particular knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, specialized experience must have been equivalent to at least the GS-11 level in the Federal Government or other equivalent pay systems. Specialized experience includes: Experience performing multi-faceted executive administrative assistant functions in a fast-paced environment, providing effective communications and judgment, as well as excellent attention to detail-oriented tasks; Experience planning, coordinating and tracking official meetings and meeting agendas, while compiling, preparing, and distributing underlying documents for circulation to leadership and other stakeholders; Experience preparing, finalizing, posting and subsequently managing official Board of Directors (or other high-level executive) records, meeting agendas, scripts and minutes; AND Experience anticipating, facilitating, and troubleshooting, logistical issues involving the various aspects of high-level executive meetings and developing rapport and maintaining communications with key stakeholders and support staff to address and resolve these issues. Education cannot be substituted for experience at the GS-12 grade level.
