The position is the principal clerical or administrative support position in the office, operating independently of any other such position in the office. The duties require knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others.

Duties

The duties of the Secretary include, but are not limited to: Receiving visitors and incoming calls, resolves problems of both general and specific nature and referring matters to appropriate staff Screening incoming documents from staff members to insure compliance with regulations or for discussion at staff meetings Responding to requests for information and/or develops one-of-a-kind reports covering organizational or technically ­oriented matters when information is available Ensuring that reports and responses to correspondence are submitted by the staff on time and in the proper format Drafting meeting minutes Composing various forms of correspondence Reviewing outgoing correspondence for format, policy conformance, and typographical and grammatical accuracy Making travel arrangements Scheduling conferences Work Schedule: Monday - Friday 8:00AM - 4:30PM Telework: AD HOC VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/03/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Composing correspondence such as administrative matters, letters of acknowledgement, general office and installation policies, acceptance of invitations, and cancellation of conferences; Reviewing outgoing correspondence for format, policy conformance, and typographical and grammatical accuracy; Preparing reports related to leave and time/attendance; Drafting meeting minutes; and Receiving visitors and incoming calls. You will be rated on the following Competencies for this position: Clerical: Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms. Administration Management: Knowledge of planning, coordination, and execution of business functions, resource allocation, and production. Writing: Recognizes or uses correct English grammar, punctuation, and spelling; communicates information (for example, facts, ideas, or messages) in a brief, clear, and organized manner; produces written information, which may include technical material, that is appropriate for the intended audience. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
