This position is at the full performance level and is located within the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Phoenix VA Health Care System (PVAHCS) in Surgical Service. The Program Support Assistants (PSA) work under the direct supervision of the Administrative Officer (AO) for Surgery, who reports directly to the Chief of Surgery (Service Chief).

Duties

Budget and Financial Management Serves as a Service timekeeper and is responsible for maintaining employee schedules and time and attendance with designated area of responsibility. Responsible for time and attendance reporting, prepares time and attendance reports for other office personnel as directed. Informs employees of timekeeping procedures and regulations regarding tours, leave of absence, authorized absence and travel requests, etc. Program Management Responsible for the administrative oversight of various administrative processes. The incumbent initiates and directly handles all the administrative actions and reports associated with the Surgical services. The work performed is primarily administrative in nature but concerns the day-to-day operations servicing the Surgical Service's operations with an added emphasis on process improvement issues, customer service and working directly with Surgical Leadership on the management of complex and substantive administrative and technical functions. Analysis of Reports and Data, and other Organizational Duties Perform work involving the collection, compilation, and/or tracking of data and statistical information, as well as preparing and developing reports; this includes participation in developing "lean" processes within Surgical Service. Establish protocols for incoming data, creates internal databases, organizes written and computerized data, and retrieves data. Performs an analysis of the data and generates a variety of reports. Work Schedule: Monday - Friday, 7:30 am - 3:30 pm Position Description Title/PD#: Program Support Assistant/PD13647A Physical Requirements: Work is primarily sedentary, although some slight physical effort may be required. The incumbent must be able to sit for periods of time while operating a computer terminal. The incumbent must be able to function with frequent interruptions with the ability to regain concentration to complete task expediency. A calm and mature person is required to deal with many pressures in this area. Due to the precision and exacting nature of the surgical environment, there is potential for stress and often leads to unpredictable outcomes in terms of time and complexity.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Collecting data, reviewing, analyzing, and developing plans (if necessary), monitoring signed/unsigned clinical notes, to improve access and in support of completing outpatient encounters. Identifies inappropriate scheduling practices; tracks and analyzes data regarding scheduling accuracy and practices and prepares written reports of audit findings and may be asked to orally and/or graphically present their findings? Coordinating requests for equipment and supplies with Logistics and interfaces with other ancillary support departments as needed. Must be able to obtain and maintain COR I (Contracting Office Representative Level I) and serve as a backup to the AO for contracting related duties. Serves as a Service timekeeper and is responsible for maintaining employee schedules and time and attendance with designated area of responsibility. Responsible for time and attendance reporting, prepares time and attendance reports for other office personnel as directed. Assists with maintaining fund control points (FCPs) including ordering, monitoring, receiving, and delivering supplies ordered to Service staff. Ensures that expenditures are always maintained within fund control point authorized amounts. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

There is no educational substitution for the GS-06 level.
