The incumbent serves as a Management Assistant in the office of the Chief of Staff, supporting the Chief, Health Systems Specialist and other facility leaders. The incumbent performs work in support of general management and program analysis functions which requires knowledge of clinical operations. The position requires excellent relational and communication skills; knowledge of and experience with computers; and oral and written communication skills and the ability to work with others.

Duties

Handles, manages, and processes administrative correspondence including Action Items and Congressional. Utilizes Microsoft Outlook, Excel, and other programs to run reports and retrieve data. Prepares flowcharts, organizational charts, graphs, and narrative information to assist the executive team in the management of the services to ensure efficiency and productivity criteria is being met. Maintains calendar and schedules appointments, arranges conferences, departmental meetings and schedules. Works in accordance with established priorities and resolves complaints based on a variety of established alternatives. Receives and screens visitors and phone calls. Determines nature of request, refers callers or visitors to appropriate staff, or personally Provides routine or procedural information. Primary timekeeper and alternate for other services/departments as designated. . Orders supplies and receives equipment for the service(s). Places work orders for necessary repairs making sure they are completed in a timely manner. Provides immediate operational and day to day support to the HSS ensuring project milestones, action items etc. are suspended appropriately and manages same to ensure timely completion. Automated data processing Applications Coordinator for Chief of Staff and Group Practice Management Office. Reports quality assurance, procedures, safety, competency and consult management to leadership. Initiates and populates reports for Chief of Staff, implements a variety of monitoring/reporting tools in computer for each unit within the service and trains employees how to utilize them. Initiates and completes all documents required for travel. Prepares daily/weekly/ monthly reports for Chief of Staff and subordinate services. Provides support to the staff and the service by administering, coordination, testing and monitoring operating systems and software packages used by the service Problem solving will require the incumbent to make decisions about a variety of complex matters regarding data management. Performs work involving the collection, compilation and /or tracking of data and statistical information for workload requirements. Assists with the development of data validation indicators to provide objective evidence of the effectiveness of quality procedures, controls and prevent errors. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday to Friday 8:00am - 4:30pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/27/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. General Adjustment SF-50's with the effective date of within the last year do not provide the information to reflect time-in-grade requirement has been met and therefore cannot be the only SF-50. If you are currently serving in a Hybrid Title 38 position, your SF-50's must reflect you have been in the position longer than one year. GS-5 You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: maintains calendar and schedules appointments, arranges conferences, departmental meetings and schedules. Utilizes Microsoft Outlook, Excel, and other programs to run reports and retrieve data. Receives and screens visitors and phone calls. Determines nature of request, refers callers or visitors to appropriate staff, or personally Provides routine or procedural information. Orders supplies and receives equipment for the service(s). Initiates and completes all documents required for travel . OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school (Transcript required). . OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond . GS-6 You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Physical Requirements: The purpose is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work. There is no educational substitution at GS-6 grade level.
