This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), VISN 19, Eastern Oklahoma VA Health Care System, (Jack C. Montgomery VA Medical Center) Muskogee, OK within the Specialty Medicine Service. The incumbent functions as the Program Specialist providing administrative support to the Physicians, Mid-Level Providers, and Medical Instrument Technologists of the Specialty Medicine Service.
Duties
Duties include but are not limited to:
Coordinates services for program referrals and informs staff of patient census results and any changes/problems encountered.
The position is the records management liaison and maintains the Records Management Program to ensure a stable records system which includes a centralized records function, standardized handling/retention, improved records, paper to film/electronic data conversion, and document searches.
As providers and administrative staff leave the service, the incumbent ensures that all documentation is signed and completed, and all equipment is returned to the facility.
Maintains organized information to advise the service line chief on leave and overtime issues.
Reviews all clinic stop code/encounter/consult report paperwork.
The incumbent monitors, manages and tracks the patient flow data for the Medicine Specialty clinical programs to verify the program goal of addressing patient care needs promptly is met.
Acts as a Service Line Advocate to resolve patient complaints.
Obtains clinical and workload data and other specific information requested by supervisor, staff, patients/families, medical center, and others.
Receive incoming calls from patients, clients, staff, and others in need of information.
Serves as an ADPAC, VATAS timekeeper; PIV sponsor.
Collects, compiles, and tracks statistical information in support of section operations.
Monitors quality assurance indicators.
All other duties as assigned

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/30/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 7 position you must have served 52 weeks at the GS 5. For a GS 9 position you must have served 52 weeks at the GS 7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

GS 7 Grade Qualifications:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of VA Systems/ databases and procedures; Knowledge of the principles and practices of budget administration and analysis; including preparing, justifying, reporting on, and executing the budget; Proficiency with Word, Excel, VISTA, CPRS, MyIT, EPAS system, and LEAF tickets; Ability to communicate verbally and in writing on different levels of understanding to include technical, administrative, and professional (medical and non-medical), to include preparing reports, memorandums, spreadsheets, and other professional communication. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have one (1) full year of graduate level education in a course of study that directly reflects the job-related competencies necessary to satisfy the minimum qualifications and perform the duties of the position. (TRANSCRIPTS REQUIRED) OR, possess a bachelor's degree with Superior Academic Achievement in a course of study that directly reflects the job-related competencies necessary to satisfy the minimum qualifications and perform the duties of the position. Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond a bachelors degree. The total percentage must equal at least 100 percent to qualify.) (TRANSCRIPTS REQUIRED)

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 7 in the normal line of progression for the occupation in the organization.
