The Program Support Assistant (OA) is responsible for all administrative support to the Acute/Specialty Care Service. Performs a wide variety of administrative tasks and management assistance activities associated with maintaining and supporting the work performed within the Acute/Specialty Care Service. The position may act as the primary liaison between Medicine Service and administrative offices outside and inside the organization.

Duties

Serves as the organization's liaison to the Human Resources office. Monitors, coordinates, and provides information to facilitate personnel management activities of the work unit. Serves as the organization's focal point for all personnel management support activities, including recruitment and hiring, position control, security clearance procedures, support staff utilization, etc. Coordinates all activities between the human resources office and Medicine Service as delegated by the lt4edicine Manager and/orAO. Performs training support duties such as the coordination, scheduling, and acquisition of training, the maintenance of training records and files and/or the coordination and maintenance of performance utilizing the Education Tracking systems. Monitors employees' quarterly educational performance to ensure standards are met. Reports employee educational performance monthly on an ongoing basis to management. Performs work involving the collection, compilation, preparing, and or tracking of data and statistical information in support of Medicine Service program operation. Involved in the planning, review, and reporting of data/statistical results of program/project studies. Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data. Performs a basic analysis of the data and generates a variety of reports. Evaluates documents, e.g., sampling plans, permit applications, and other data collection forms. Coordinates incoming data from a variety of sources. Reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate. Maintains automated system of program-specific data to track suspense on items such as project milestones, progress reports, statistical information, accomplishments, compliance strategies, etc. Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of Medicine Service. Completes special research projects in support of the policy development and/or technical/program activities of the medicine service. Assembles and summarizes data, background information, and other materials from publications and other sources. Serves as the organization's liaison on office support services. Serves as liaison to central administrative staff on office support services for extensive organizational needs, e,9,, monitors employee schedules for office coverage, telephone coverage, etc. Performs a variety of administrative tasks associated with maintaining and supporting the work performed within Medicine Service, Provides direct administrative and program support to the Medicine Administrative Officer. Provides support to the AO on an as needed basis. Performs clerical, technical, and/or program support work for the Administrative Officer in support of the programs of l\,4edicine Service; provides general program support work such as the collection, compilation, research, and/or tracking of data and program information. Plans and establishes Medicine Service control systems such as those for the control of the location, arrangement, access to, and use of Medicine Service office files. Within established agency guidelines, acts as a central resource person for the maintenance of office control systems. As the source of information, recommends changes in administrative practices and services on administrative procedures. Provides the manager or supervisor with the necessary information needed to make decisions on administrative and clinical aspects of Medicine Service operations and management. Other duties as assigned. Work Schedule: Monday through Friday from 7:30am to 4:00pm Position Description Title/PD#: Program Support Assistant/01515-O Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, .10/26/2023 Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to strong phone contact skills and active listening skills, strong customer service skills and ability to adapt and respond to different types of personalities. Building relationships and trust with our Veterans through open and interactive communication. You will be rated on the following Competencies for this position: Communication, Computer Skills, Interpersonal Skills, and Manages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
