The Medical Support Assistant (MSA) provides clerical and administrative support for all clinics within the Cardio/Pulmonary sections. The MSA works collaboratively in an interdisciplinary coordinated care delivery model, a patient aligned care team in the Cardiology and Pulmonary Sections of Medical Service to ensure delivery of coordinated, high quality, efficient and patient-centered care.
Duties
The primary duty for this employee is to be primary source of patient contact as they arrive for their appointments and provide administrative assistance for all Cardio/Pulmonary clinics. The employee will monitor the status and progress of work, and makes day-to-day adjustments in accordance with established priorities, obtaining assistance from the supervisor on problems that may arise. Provides information via telephone and in person to the general public, members of the professional staff, civilian, and military personnel in response to inquiries regarding appointments. The incumbent for this position will primarily support the following clinics: Event Monitor, EKG, Exercise Treadmill, Holter Monitor, Echocardiogram Clinics, and in a supportive capacity, when needed, all other Cardiology Procedures and clinics (including Cath Lab and EP). The incumbent for this position will support the following clinics on an as needed basis: Pulmonary, PFT, Chest, CPAP and Sleep Medicine.
Duties at this position include but are not limited to:
Scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; Return to clinic orders, preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility in accordance with VHA national scheduling guidelines. Verifying and updating demographic and performing basic eligibility, co-pays and preauthorization requirements for specific coverage. 3) Completing the Insurance Buffer for each patient. Makes Hoptel, PAR, and Travel Requests per SOP. Coordinates and regulates telephone intake of patient-initiated inquires and coordinate internal communication for staff that is both physically and functionally dispersed Coordinates the timely and efficient flow of patients into and out of the Clinics. Coordinates with Cardiology Staff for scheduling patient appointments. Develops and Maintains effective and efficient communication with patient and Cardiology staff; VA medical centers, and other agencies regarding patient appointments. Participates with other staff to manage and plan patient care, setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs. Coordinates the administrative flow of patients into and out of the Cardiology and/or Pulmonary. Receives in-patient and out-patient procedure requests (consults) from physicians and other professional personnel, and scheduling appointments accordingly. Consult Management of the cardiology clinics within their primary responsibility. This includes periodic reports primarily Echo monthly reports and other types of Cardiology workload reports if needed and assigned (EKG, ECHO, EVENT MONITOR, and Exercise Tolerance Testing) Enters appropriate information into electronic record (CPRS, VISTA, VS GUI) and other clinical information systems as appropriate to the area assigned. Sends appointment notifications, instructions, and reminder letters to patients, checking in patients arriving for their appointments. Appropriately triages patient concerns and brings urgent matters to immediate attention of Cardiology staff Collaborates effectively with the other Cardiology staff to ensure seamless care. Responsible for the timely and accurate capture of both clinical and administrative data record maintenance. Updates Patient Medical Records with Procedure Reports including of Non-Invasive Cardiology reports to referring physicians and closing consults in CPRS. Performs typing work from written material using word processing software and equipment. Responds to incoming correspondence Performs general filing. Maintain office supplies as needed for Cardiology reception office. Receives sorts and delivers to the appropriate individual's incoming and outgoing mail or other documents. Orders lab supplies as appropriate. Provide cross coverage MSA administrative duties to all other areas of Cardiology and Pulmonary as needed.
Work Schedule: Monday - Friday from 8:00am - 4:30pm or as determined by supervisor.

Qualifications
Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
Education. One year above high school; OR
Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
Grade Determinations:.GS-5: One year of experience equivalent to the next lower grade level (GS-4) OR four (4) years of education above high school AND possess the following KSA's:
Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports.
Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients.
Ability to schedule medical appointments in a clinical setting.
Ability to work independently in the accomplishment of a wide variety of duties performing patient support work.
Ability to communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers.
Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution
