The Program Support Assistant is assigned to the Community Care Section of the Chief of Staff Office. This position reports to the Clinical Program section of Community Care. The functional duties and primary focus of this position is the monitoring of Care in the Community
Duties
Tennessee Valley Healthcare System (TVHS) is one of the largest integrated health care systems in the Department of Veterans Affairs and includes facilities in Murfreesboro and Nashville. 20 Community-Based Outpatient Clinics are located in Kentucky and Tennessee. Nashville offers affordable living with picturesque seasons and an abundance of recreational and entertainment activities. Nashville, better known as "Music City USA," is the capital of Tennessee and home of the Tennessee Titans NFL and Nashville Predators NHL teams. Tennessee has NO STATE TAXES!!!
Major duties include, but are not limited to:
Serve as point of contact for Service Line and provide vital, sensitive, administrative program information to the staff and/or Veteran, VA approved providers and VA staff.
Assist in the establishment and enrollment of Veterans and acts as the liaison and provides coordination and collaboration of services.
Duties will also include Care in the Community training and education related processes and the automatic data processing systems, Mission Act, Community Care services and other departments throughout the VAMC TVHS medical system of care.
Accept phone calls from internal and external customers.
Interacts with veterans and other beneficiaries, in person or by telephone. Puts them at ease by listening to their requests, questions, or complaints, and appropriately provide answers or information, gives guidance, and initiates action when called for.
Maintain and track the VISN 9 patient database for Veterans in the community presenting to Emergency Departments / Hospitals.
Prepares reports using database, to collect, compile, analyze and present data.
Must possess the ability to apply basic analytical methods to interpret data and recognize errors and deviations.
Assist in the preparation of program reports, assists in process improvement initiatives, participates in Care in the Community work audits, monitors all activity associated with daily transmission and acceptance of Plan of Cares or DME.
Identify problems and takes corrective action to ensure that Plans of Care and DME are transmitted accurately and timely.
Provide ongoing training with regards to rejections and/or changes to the community vendors and providers.
Work with a multidisciplinary team to timely coordinate Community Veteran Care Agreements VCAs. (This will be completed by receiving all incoming correspondence, faxes and obtains required records and signatures from the Community vendors and processing through the National Community Care office to complete a Veterans Care Agreement; prepares and coordinates correspondence and agreements for the service department and Medical Center Director.)
Train new staff on the use of VA software and equipment and troubleshoots software and hardware problems/ issues with equipment such as printers, faxes, monitors, desktop computers, phones, etc.

Physical Requirements: Most of the work is performed in the campus or home office setting with adequate light, heat, and ventilation. Typical office setting is subject to noise caused by multiple visits by other staff, equipment, and telephone interruptions when performing various functions daily. Work is mostly sedentary; however, standing bending, and carrying light items is required up to 35 pounds.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-06 grade level: Applicants must have one (1) full year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience is defined as : Experience providing clerical and administrative support in an office setting; using various office software such as Word, Excel, and PowerPoint; creating and generating reports; coordinating, planning, and organizing administrative duties; preparing meeting agendas and minutes; communicating orally and in writing to internal and external customers; researching various publications, manuals, handbooks, and policies; analyzing, extracting, tracking, summarizing, and compiling information for reporting and review; preparing correspondence; providing customers with consistent information according to established policies and procedures.
