The Office Automation Clerk works under the supervision of the Anatomic Pathology Supervisor at the Pathology and Laboratory Medicine Services at VA Caribbean Healthcare System in San Juan, Puerto Rico which is a large acute care and teaching hospital that provides health care to a population of more than 150,000 veterans in Puerto Rico and the U.S. Virgin Islands based on the latest census.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Performs computer accessioning of surgical pathology, cytopathology and autopsy reports data in Computer Programs. Transcribes data obtained from the specimen grossing process into the system. Operates automated grossing dictation system, Dictaphone transcriber station and/or the digital gross dictation system, understanding instructions given by the pathologists and/or supervisor as to transcribing pathology reports assigned by work type, priority, etc. Takes manual dictation at the histopathology section of fresh specimen received if required by the pathologist or when the dictation system is down or malfunctioning. Completes transcription of cytology reports, surgical pathology reports, autopsy provisional diagnoses and autopsy protocols including patient's clinical history, pre-operative. ENGLISH LANGUAGE PROFICIENCY: You must be proficient in spoken and written English and Spanish. ~AND~ TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. ~AND~ EXPERIENCE: GS-4 Have at least one (1) year of general experience that has equipped you with the knowledge, skills, and abilities necessary to perform the duties of a Office Automation Clerk (Medical Transcribing) GS-4. General experience is defined as progressively responsible clerical, office, or other work that indicates your ability to perform the duties of this position. NOTE: Experience must be fully documented on your resume and must include job title; duties; month and year start/end dates AND hours worked per week. ~OR~ EDUCATION: Two (2) years of education above the high school level for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation. ~OR~ COMBINATION: Equivalent combination of successfully completed post-high school education and general experience, as described above, which meet the total qualification requirements for this grade level. NOTE: Your experience must be documented in your resume and transcripts are required. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalCustomer Service (Clerical/Technical)Reading ComprehensionWriting IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements/ Working Conditions: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be substantial walking, standing, bending carrying of light items such as papers, books, small parts, etc. No special physical demands are required to perform the work. Excellent vision, tact, auditory and listening skills are required. The work requires tolerance and ability to work under stressful situations, which, at times may be irregular or somewhat constant. The demands of accuracy and speed in completing reports to the pathologist are an ever present responsibility and constant concern of the office automation assistant. The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms or libraries. The area is adequately lighted, heated and ventilated. May have to deal with hazardous materials (i.e. formalin) and insure adherence to established local and federal regulations. Work is performed in an office setting with adequate light and furniture, subject to frequent telephone and visitor interruptions.
