The employee serves as a Secretary (OA) within the Director's Office of the VA Central Iowa Health Care System (VACIHCS) located in Des Moines, Iowa. The employee provides full administrative/clerical support for the primary Quadrad members and the Administrative Officer (AO). This position also aids other members of the Executive Management Team as needed.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-08. At the GS-07 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-08. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds. Duties include but may be limited to: Exercises control of calendars for the primary members and Administrative Officer, such as scheduling and recording appointments, arranging meetings and conferences administrative details, and following up on action items with appropriate staff members independently. Arranges for meeting space and initiates meeting requests to attendees. Provides program support functions for councils, committees, and other agency programs as assigned, to include collection, compilation, research, and/or tracking of data and program information. Contacts various services/service lines to obtain additional information and assures action items are completed. Maintains a daily suspense file of items that need attention. Assures various reports and suspense items are answered in a timely manner. Makes travel reservations, guaranteeing hotel reservations with credit card, preparing itineraries, submitting necessary registration forms (often on the Internet), preparing necessary paperwork for funding through Education Service, and completing the travel plans and expense reports in the appropriate computer systems for all episodes of travel. Composes various correspondence (e.g., letters; memorandums; directive; reports (clinical and/or statistical in nature; data requests; etc.). Assures format accuracy (e.g., grammar, punctuation, spelling, attachments, continuity of text, compliance, etc.) Initiates, tracks and maintains performance plans for staff; maintains time and attendance of employee's assuring back-up coverage for absences. Utilizes multiple computer databases; uses various Microsoft software (Word, Excel, spreadsheets, etc.) to complete Office Automation (OA) responsibilities. Performs other duties as necessary. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. To qualify for this position, applicant resumes must clearly support the duties of the position and specialized experience to be creditable. We will not make assumptions regarding experience. GS-7 SPECIALIZED EXPERIENCE: Requires one (1) full year of specialized experience that equipped the applicant with the knowledge, skills, and abilities to successfully perform the duties of the Secretary (Office Automation) position. To be creditable, specialized experience must have been equivalent to at least the GS 6 grade level in Federal Service. Specialized experience for this position is defined as providing administrative support; scheduling and coordinating meetings and conferences; making travel arrangements; collecting, compiling, and tracking data; composing correspondence, reports, memoranda, and other forms of written communication ensuring format accuracy (e.g., grammar, punctuation, spelling, attachments, etc.); and utilizing computer databases and various Microsoft software (Word, Excel, spreadsheets, etc.) to complete office automation responsibilities. GS-8 SPECIALIZED EXPERIENCE: Requires one (1) full year of specialized experience equipped the applicant with the knowledge, skills, and abilities to successfully perform the duties of the Secretary (Office Automation) position. To be creditable, specialized experience must have been equivalent to at least the GS 7 grade level in Federal Service. Specialized experience for this position is defined as providing administrative support for an Executive/Director/CEO (or similar upper management echelon); scheduling and coordinating meetings and conferences; making travel arrangements; collecting, compiling, and tracking data; composing correspondence, reports, memoranda, and other forms of written communication ensuring format accuracy (e.g., grammar, punctuation, spelling, attachments, etc.); and utilizing computer databases and various Microsoft software (Word, Excel, spreadsheets, etc.) to complete office automation responsibilities. You will be rated on the following Competencies as part of the assessment questionnaire for this position: Administration and ManagementCommunicationsConscientiousnessOrganizational Stewardship IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, such as papers, books, small parts, or driving an automobile. No special physical demands are required to do the work.
