The Administrative Support Assistant (OA) position is located in the office of the Chief of Surgical Service. The incumbent performs a broad range of clerical and administrative tasks for designated clinical sections. The serves as the liaison for office support services.
Duties
Tennessee Valley Healthcare System (TVHS) is one of the largest integrated health care systems in the Department of Veterans Affairs and includes facilities in Murfreesboro and Nashville. 20 Community-Based Outpatient Clinics are located in Kentucky and Tennessee. Nashville offers affordable living with picturesque seasons and an abundance of recreational and entertainment activities. Nashville, better known as "Music City USA," is the capital of Tennessee and home of the Tennessee Titans NFL and Nashville Predators NHL teams. Tennessee has NO STATE TAXES!!!
Major duties and responsibilities will include, but are not limited to:
Provide general office support for Section Chiefs and clinical staff.
Compose and edit correspondence.
Track equipment, supplies, and services.
Answer questions concerning policies and procedures related to office support services.
Handle patient complaints and concerns.
Serve as the Training Management System (TMS) coordinator for assigned sections.
Gather and compile data for reporting purposes.
Collect work and attendance time from fellow and resident providers to analyze, interpret and complete reports for payment.
Collect patient bills to charge for services rendered.
Monitor and control business papers, correspondence, and records.
Receive, assign, and monitor externally and internally generated correspondence and inquiries.
Follow up to ensure observance of deadlines, and coordination of internal comments and clearance.
Plan and establish office control systems.
Perform administrative work supporting the following areas human resources, budget, procurement, purchasing, management analysis, operating program analysis, timekeeping and part-time physician audits, etc.
Answer phone calls, schedule appointments, organize meetings and conferences as needed.
Receive visitors and phone calls from people at all levels and determine the nature of the visit or call and handle appropriately.
Perform work in support of purchasing and/or procurement of services, products, supplies, and/or equipment.
Performs other duties as assigned.
Work Schedule: Monday-Friday, 8:00AM - 4:30PM

Physical Requirements: Work is generally sedentary. Typically, employees sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small pieces of equipment and supplies, or driving an automobile. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
Applicants must possess the following:
Specialized Experience: Applicants must possess one (1) full year of specialized experience at the GS-5 grade level, equivalent, or higher. Specialized experience is defined as experience gained in performing clerical and administrative support duties to include providing training other staff in administrative procedures; manage office budget; track and compile data for reporting purposes; use software applications (email, spreadsheets, databases); compose and edit correspondence and reports; maintain suspense files ensuring deadlines are met; maintain calendars, appointments and schedules; coordinate conferences and meetings; monitor office supplies and equipment.
