About the Position: Actively serves as the principal office manager and administrative assistant, participating in the management support of a Directorate or Branch organization with the Army Geospatial Center or supporting additional internal offices as required. This is accomplished by performing procedural clerical and substantive administrative work. This is a permanent position. Management may choose from any level advertised.

Duties

Work under general administrative direction of a Directorate or Branch Chief within the U.S. Army Geospatial Center (AGC). Type into final form, from written materials and/or brief, documents pertaining to military and non-military correspondence, narrative and tabular reports, travel documents, training requests, staff actions, etc. Assist chief’s subordinates in the procedural aspects of expediting work and in implementing instructions concerning procedures, explaining reporting requirements, and arranging for the collection, assembly, and submission of data. Prepare directorate reports, gathering data from files and feeder data, e.g., staff notes, Contracting Officer’s Technical Representative (COTR) Status Reports, and other reports concerning personnel and budgetary utilization and status. Serve as point of contact for all personnel and training actions required by Adjutant General, Civilian Personnel Office, and the agency, to include Officer Efficiency Reports and Performance Appraisals. Process correspondence, i.e., editing, filing, and mailing procedures; requisitioning supplies and services; researching and purchasing approved items; and converting general management guidance. Proofread completed work for accuracy in spelling, grammatical construction, and punctuation, and check to assure presence of necessary enclosures. Manage multiple calendars and prepare and submit staff time charges and maintain personnel time-cards.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. (Note: You must attach a copy of your transcripts.) OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. (Note: You must attach a copy of your transcripts.) Basic Requirement for GS-06: Specialized Experience: One year of specialized experience which includes receiving and/or reviewing all incoming mail and correspondence for the agency; determining arrangement, style, proper formats, number of copies required, etc. based on regulations, procedures, machine operating manuals, etc.; and maintaining suspense records on all correspondence and action documents and following up to ensure a timely reply and/or action. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05). Basic Requirement for GS-07: Specialized Experience: One year of specialized experience which includes managing chief's and multiple other calendars and preparing and submitting staff time charges and maintaining personnel time-cards; screening items that can be handled personally and forwarding remainder to staff for action, providing additional guidance for accomplishment of action; monitoring a full range of office support services, e.g., printing, equipment maintenance, and office supplies; and inputting statistics and other data into automated equipment, utilizing available spreadsheet and data base software programs. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). Basic Requirement for GS-08: Specialized Experience: One year of specialized experience which includes developing and/or monitoring all historical, program, budget and travel, training, and personnel information; serving as point of contact for all personnel and training actions; providing guidance and assistance on applicable procedures, instructions, and regulations to the agency and customers; reviewing outgoing correspondence, editing for procedural correctness, grammatical accuracy, etc., and returning to originator any correspondence requiring corrections; and proofreading completed work for accuracy in spelling, grammatical construction, and punctuation, and checking to assure presence of necessary enclosures. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07). Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted. Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors. You will be evaluated on the basis of your level of competency in the following areas: ClericalCustomer Service (Clerical/Technical)Organizational AwarenessReading Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent.
