This position is organizationally aligned to the Office of the Director located at the Edward Hines, Jr. Hospital (578), and will serve as Executive Assistant to a designated Executive Leadership Member Team who has exercising line authority over their respected Service Lines under the Organizational Structure.
Duties

Duties include, but are not limited to:
Receives and screens visitors and telephone calls, i.e. identity, purpose of call and relative importance in relation to availability of staff members.
Provides advice and guidance to staff on clerical and administrative matters and provides administrative support to the office.
Maintains calendars and makes appointments in accordance with established practice and special instructions.
Assists in development of annual training plans assuring that budgetary guidance is followed and periodically advises staff of training opportunities.
Take meeting minutes for both clinical and administrative meetings.
Receives and reviews incoming correspondence and suspense items.
Arranges conferences; parking, lodging, meals and transportation.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 7:30 a.m. - 4:00 p.m.
Qualifications
SPECIALIZED EXPERIENCE:
I have at least one (1) year of specialized experience equivalent to the next lower grade level in Federal Service that includes performing the following duties: Provide administrative and clerical assistance.; Assists in development of annual training plans.; Compiles information for the preparation of statistical and narrative reports.; Prepares various correspondence, memorandum, and reports.; Compiles information for the preparation of statistical and narrative reports.; Conducts evaluation of project research operations including collection, analysis and management of data.
OR
SUBSTITUTION OF EDUCATION FOR EXPERIENCE (TRANSCRIPT REQUIRED):
I have successfully completed a: master's or equivalent graduate degree
or
2 full years of progressively higher level graduate education leading to such a degree
or
LL.B. or J.D., if related
OR
COMBINATION OF EXPERIENCE AND EDUCATION (TRANSCRIPT REQUIRED):
I have equivalent combinations of successfully completed graduate-level education (beyond 18 semester hours) and specialized experience, as described above, which meet the total experience requirements for this grade level. The education portion must include graduate courses directly related to the work of this position.

Physical Requirements:
The work is primarily sedentary, although some slight physical effort may be required. This work may also
include walking distances between buildings, carrying/lifting small and/or lightweight office type equipment
(e.g., copy machine, fax machine, telephones, audiovisual equipment, conference call equipment, personal
computers, scanners, and printers). Employee has contact with others face-to-face, written, e-mail, and
telephone.
