This position is located in the office of the Chief, Anesthesiology Service, Nashville Campus of the Tennessee Valley Healthcare System. The position includes a broad range of administrative support responsibilities, which arise from the central role that the Anesthesiology Service has in support of the mission of the Tennessee Valley Healthcare System, VISN-wide and nationally.

Duties

The Program Support Assistant (OA) provides secretarial and administrative assistance to the Chief of Anesthesiology Service, Assistant Chief of Anesthesiology Service and staff. Also, coordinates the process of the credentialing and privileging of all Anesthesiology Service personnel including intensivists, pain physicians, general and cardiac anesthesiologists as well as WOC appointments, contract personnel, residents CRNAs, and Technicians with the Credentialing and Privileging office and serves as a PIV Sponsor for new hires for the Anesthesiology Service. Major Responsibilities include, but are not limited to: Serves as Administrative Assistant for the Anesthesiology Service, Nashville Campus. Provides technical guidance to other Anesthesiology Service support staff on changes to format, policies and standard operating procedures for clerical processes. Provides clerical support to the Anesthesiology Service leadership by placing and receiving calls, scheduling appointments and organizing meetings and conferences as required. Receives visitors and phone calls from people of all levels and ascertains the nature of the call or visit to direct to the person or call to the appropriate person or section. Coordinates scheduling of personnel including clinical and administrative meeting, appointments, lectures, vacations and other calendar items. Maintains continuity and timeliness of preparation of the weekly assignment schedule for daily caseload. Prepares correspondence, forms, manuscripts, and reports for the Chief, Assistant Chief and others utilizing typing skills, mastery of the English language, proper format, regulations governing release of information and other pertinent regulations. Serves as timekeeper for the Nashville Campus Anesthesiology Service T &L. Maintains an up-to-date VA policy manual on time and attendance and disseminates any new changes to the regulations to staff as required. Advises and develops recommendations for present and future manpower utilizations. ls also responsible for developing and updating the Service's Organization and Function Chart and for conducting annual position reviews. Makes arrangements for travel, including preparation of travel requests/orders, vouchers and accommodations for official travel for the Chief, Assistant Chief and others as needed. Responsible for the Quality Assurance performance and outcome monitors repo11ing for the Service and monitors/compiles compliance information. Coordinates and the appointment and processing of residents to the TVHS system for the Anesthesiology Service. This entails verifying level of training for all residents so that pay will be in accordance with regulations. Responsible for submitting proficiency reports for professional staff members of the Service to Human Resources as required and monitoring license and registration renewals for staff physicians as current registrations expires and keeping documentation current in six part folder. Meets the needs of customers while supporting the Medical Center and Service missions. Consistently communicates and treats customers (patients, visitors, volunteers, and all Medical Center staff) in a courteous, tactful, and respectful manner. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/20/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience in using a variety of computer applications and software including word processing, spreadsheets, and database programs; experience in drafting and reviewing correspondence, forms, and reports for review; coordinating and planning workflows, calendars, administrative meetings, and appointments in a clinical office setting; communicating orally and in writing to internal and external customers; providing customer service that adheres to established policies and procedures; timekeeping; preparing travel requests/vouchers; placing requests for resources such as office supplies. Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. 40 words per minute typing speed You will be rated on the following Competencies for this position: Administration and ManagementCustomer Service (Clerical/Technical)Data ManagementTechnical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work is a combination of sedentary and non-sedentary, with some walking, standing, bending, and carrying of light items, such as papers and books. No special physical demands are required to perform the work.
