Position is located within the Whole Health Department, under the Social Work Service, at the Eastern
Oklahoma VA Healthcare System and is established to provide a wide variety of general administrative and
clerical functions. Serves as primary support to the Whole Health Program Clinical Director and Coordinator. The Whole Health Program promotes personalized, proactive care, that affirms the importance of the relationship between patients and their healthcare team.
Duties
Schedules appointments, coordinates meetings, and/or schedules conferences
Provides general clerical services relative to calendar maintenance
Supports Whole Health Program staff in day-to-day operations
Identifies problem areas requiring attention of Whole Health Program management
Assists with outreach planning for Whole Health
Primary point of contact throughout the health system
Provides initial set-up, enrolls, and explains the various aspects of the Annie application (or similar), an important communication tool, to Veterans
Schedules interviews and participates on interview panels as directed by the superviso; compiles employment materials from applicants and ensures that the materials are available for review by the interview panel in a timely and organized manner; communicates and works with both the applicants and the interview panel to establish convenient times to schedule interviews; collects and stores pertinent interview scoresheets consistent with policy and works with HR to coordinate any further needs for the applicants
Assists with research efforts including requesting data pulls and ensuring proper data management of research studies as directed by the Whole Health Clinical Director; assists Whole Health Coordinator and Whole Health Clinical Director by collecting data, tracking required measures of performance, and running various office reports
Modifies and maintains automated systems for tracking program effectiveness
Manages and maintains databases for recording employee information, such as Access databases
Tracks utilization data for Veterans Equitable Resource Allocation reimbursement, for Veteran Focus Group information, and for Whole Health education development
Inputs measurable data into databases for facility scorecard
Manages timekeeping duties using VATAS; orders and manages office supplies for members of the Whole Health Program team; manages the Whole Health Program GSA vehicle binder and vehicle log; acts as the sponsor for PIV card approvals; manages clinic grids by building/altering clinics as appropriate for the department; attends and records minutes from weekly huddles and other committee meetings as directed by the supervisor; monitors and controls business papers correspondence
Serves as ADPAC support person for assigned services within Whole Health Program
Incumbent enters work orders; completes requests for computer access, menu changes and, trouble shoots technical problems; provides information to staff regarding changes/improvements for computer programs; provides technical assistance for staff regarding computer/printer problems and refers issues that cannot be resolved to OI&T for resolution; provides training for staff regarding use of computer applications
Manages LEAF requests
Manage treatment notes and patient charts
Supports Public Key Infrastructure (PKI) and Rights Management access for all Whole Health Program Staff to ensure we follow security requirements
Serves as a Whole Health Program Point of Contact for computers, printers, and telephones
Processes and prepares incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; composes, drafts, and edits correspondence; reviews documents for accuracy, spelling, and format; meets timelines
Manages and enters purchase orders per supervisor direction
Manages faxes and other correspondence of the Whole Health Program
Enters work orders for the department as directed by the supervisor
Manages training calendars and class schedules for Office of Patient Centered Care and Cultural Transformation and others as designated
Collaborates with Medical Center services and programs such as Community Based Outpatient Clinics, to include Health Promotion and Disease Prevention, Patient Centered Care, Integrated Health Clinic, Pain University, Whole Health University, Women's Clinic, Whole Health within PACT, Behavioral Medicine, and Physical Medicine and Rehabilitation Services; VHA offices and community organizations.
Work Schedule: Monday - Friday; 8:00 am - 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/06/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience for GS-07: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include,
but are not limited to: Extensive knowledge of VA laws, regulations, directives, policies, procedures, performance measures and guidelines; knowledgeable in regard to consult management/scheduling/admissions/discharge; must demonstrate thorough knowledge of structure of electronic medical records; ability to prepare and produce written instructions, and a variety of correspondence; clerical duties, administrative support, ordering of office supplies, and equipment requests; knowledge related to staffing, budgeting, planning, academics, research, timekeeping, and data analysis/collection.

Physical Requirements: The work is primarily sedentary at a desk and workstation area. However, there may be some walking, standing bending, and carrying of light items like papers, reports, files, or possibly moving computer equipment. May stand to great visitors and escort people meeting areas. No special physical demands are required to perform the work.
