The Tallahassee Outpatient Clinic provides a broad range of general and specialized medical, dental, surgical, gynecological and psychiatric services. The incumbent serves as an Administrative Assistant in the administrative office. This individual is responsible for coordinating, processing, and assisting with all concerns presented to the Administrative Office and the communication of administrative information between the professional staff, outside facilities, and the veterans.
Duties
Duties include but are not limited to:
Provides administrative support to the Chief Medical Officer (CMO), Assistant Chief Nurse (ACN) and Administrative Officer (AO). Maintains appointment calendars for the CMO, CNA and AO and assists with their travel paperwork for authorized absence and local travel.
Manages and maintains records for competency folders on all clinic personnel, to include FPPE/OPPE, performance appraisals, TMS training and continuing education; assists in the preparation of employee travel paperwork and claims.
Maintains records on personnel actions, education, congressional inquiries, and affiliations with many colleges through multiple disciplines.
Plans and performs general support services, such as coordination and assignment of clerical duties, volunteer program. VA work-study
program, without compensation appointments, and requests funds for fund control points.
Serves as human resources liaison for all units of the clinics; coordinates creation and update of position descriptions and functional statements; coordinates paperwork for employee awards, authorized absences, advanced sick leave and family medical leave.
Acts as timekeeper in the absence of primary timekeeper for time and attendance units in the clinic.
Performs the functions and duties of the PIV sponsor for the outpatient clinic and adjacent community based outpatient clinics.
Liaison for Veterans Service Offices, DAV, and all other veteran organizations.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/05/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Provides administrative support to the Chief Medical Officer (CMO), Assistant Chief Nurse (ACN), and Administrative Officer (AO).
Manages and maintains personnel records for competency folders on all clinic personnel, to include Focused Professional Practice Evaluations (FPPEs)/Ongoing Professional Practice Evaluation (OPPE), performance appraisals, VA Talent Management System (TMS) training and continuing education.
Plans and performs general support services such as coordination and assignment of clerical duties, volunteer program, VA work-study program, and without compensation appointments.
Acts as timekeeper in the absence of primary timekeepers for time and attendance units in the clinic.

Physical Requirements: The work is primarily sedentary with long periods of sitting at a desk, working with computers daily. Some work may require walking in offices and similar areas for meetings. Work may also require walking and standing in conjunction with travel to and attendance at meetings and conferences away from the worksite. The work does not require any special physical effort.
