This position is located at the Tomah VA Medical Center in the Office of the Director in the Performance Improvement Section. The Secretary performs numerous tasks which are dissimilar in kind and is responsible for utilizing various office automation equipment and software to prepare correspondence, documents and reports; work performed requires the services of a qualified typist.
Duties
Assists in preparation of justification for personnel actions, timekeeper, training coordinator; procurement of office materials; travel, special meeting/presentation preparation, assist with travel orders/vouchers; and property accountability.
Receives telephone calls and visitors, discreetly screening nature of call; in order to determine those that should be referred to the supervisor or can be diverted to other contacts.
Utilizes office automation systems to use several types of software for various office needs.
Receives and reviews all incoming mail and determines whether appropriate to call to attention of supervisor, to direct to branches, or to handle personally by presenting response in final form.
Keeps the supervisor's calendar and schedules appointments and meetings on own initiative, reschedules appointments when it becomes apparent that supervisor will not be able to meet previous schedule.
Types into final format from written material and brief instructions correspondence, narrative and tabulated reports, travel documents, personnel actions computer terminal or personal computer.
Utilizes knowledge of regulations and procedures in determining number of copies required and arranging material in proper format.
Proofreads completed work for accuracy in spelling, grammatical construction, punctuation, and checks to assure presence of necessary enclosures.
Performs other related duties as assigned.
Work Schedule: Monday - Friday; 8:00 AM - 4:30 PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for Ad-Hoc telework. Telework eligibility will be discussed during the interview process.

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the GS-04 level in the Federal service that is in or related to the duties of this position for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing secretarial and/or administrative support performing duties such as: recording and preparing meeting minutes; preparing memoranda, letters, meeting notes and other documents; maintaining logs and files; scheduling appointments, coordinating meetings and/or scheduling conferences; maintaining calendars and schedules for staff; and experience using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint).

Education: Successfully completed four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR,
Combination: Equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.
For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
Selective Placement Factor: Strong oral communication skills; Experience with Microsoft Outlook, Excel, PowerPoint and Teams. Experience in implementation of quality strategies to include collecting data and monitoring action plans. Ability to work cooperatively as a member of the team. Flexibility in dealing with the demands of the department with the ability to prioritize.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
