The position will serve as the Community Care Program Support Assistant for the Care in the Community at the VA Long Beach Healthcare System (VALBHS). The primary purpose of the position is to provide program support and assistance to the Community Care Program, on practical and technical aspects of office administration, to include fee basis, and other administrative support services.

Duties
Major duties include, but are not limited to:
Collect data and/or enter inpatient and outpatient authorizations in the Health Share Referral Manager (HSRM) or equivalent.
Apply appropriate standard and/or procedures in the areas of collection, safeguarding, accounting of fees; funds or charge cards; internal controls and/or auditing of waste, fraud, and abuse.
Complete electronic forms for cost estimate/payment of community medical care by the VA and/or correctly utilizes separate fund control points (FCP) and Purchase Orders.
Review cost estimates and expenditures daily.
Research accounting problems and ensures corrections and/or adjustments documents are documented properly.
Alert the appropriate parties to remedy errors.
Process notifications and/or alerts in the Computerized Patient Record System (CPRS), Third Party Administrator (TPA) portal, and Health Share Referral Manager (HSRM).
Utilize a comprehensive tracking mechanism such as the Consult Tracking Manager (CTM) to follow up, track, communicate issues and statuses.
Adopt and/or applies new tools, technologies, systems, and operating procedures to everyday work duties.
Perform work using programs suck as: Microsoft, TPA systems, Health Share Referral Manager (HSRM), Consult Tracking Manager (CTM), Referral Documental Tool (REFDOC), Provider Profile Management System (PPMS), Azure RMS, One Consult Model, Consult Tool Box, Medical Documentation Exchange, Community Viewer, and VISTA.
Type, files, schedules appointments and tests, ensuring transfer of medical records.
Maintain a sophisticated tracking mechanism to validate data.
Conduct follow-up (post-care) calls, verify and update demographics.
Scan and index materials within established guidelines and adhere to the proper disposition of documents.
Responsible for urgent/emergent written or faxed requests for medical information from hospitals and/or providers.
Demonstrate a high level of flexibility, teamwork and multifaceted skills by cross-training to other areas within the service, as appropriate.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Mondays to Fridays, 7:30 am to 4:00 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/10/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized Experience: GS-6: In addition to Time in grade, you must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. The position requires ability to apply principles and practices of health care management, methods, techniques, and skills in integrating the business goals of the HCG with the strategic goals of the Healthcare System.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work can be sedentary, although some slight physical effort may be required. Travel to and from wards, clinics, and offices for interviews and consultations are often necessary.
